In the world of Field Service - Scheduling is King If you run a field service business or department with your business – the difference between a good scheduler and a poor one can have a huge effect on the bottom line. Businesses often overlook this role putting junior or untrained people in place. I have worked with so many businesses who complain about low service margins and often this is down to the scheduler! It does not matter how well you sell if you fail on delivery. - Not scheduling far enough out – resulting in high cost of parts delivery- reduced margin - Not planning the right people – no first-time fix - Not planning the right parts - repeat visits- reduced margin - Not planning the right tools - repeat visits- reduced margin - Not planning for breakdowns in the schedule - reduced margin - Poor route planning - reduced margin - Not meeting contractual KPIs - reduced margin - Poor communications – poor customer satisfaction – refunds - reduced margin - Not planning vehicle services in the schedule – reduced margins - Not planning holidays in the schedule – reduced margins Whilst many old school colleagues might disagree, it is far easier to make these mistakes on a “T” card system or worse still a Whiteboard! Integrated systems which allow management of people, parts, tickets, jobs as well as tracking vehicles to properly advise customers of an eta is the way forward. We work with and can recommend several such exceptional companies, but the business needs to understand where it is losing margin and how to stop this flow, before considering a Field Service business system. We advocate a “plan of next week” style meeting, whereby office-based teams, including the Service Manager and perhaps a senior field person – review all work planned for the following week. Identify potential issues, which could also include a lack of flex in the schedule. When we engage with a business, we also try to get the MD/CEO to attend a couple of these meetings to get a feel of the complexity and a visibility of how easily margin can erode, or not.
