Ever felt like there just aren’t enough hours in the day? Like that to-do list keeps on growing, and even though you’re always busy, you don't feel like you get anything actually DONE. It’s an all too common struggle for business owners, entrepreneurs, and busy professionals. You’re juggling multiple roles and responsibilities at once, navigating frequent interruptions and constantly switching between tasks. And you know what? This multitasking is actually squashing your productivity by as much as 40% 🤯 Yep, trying to do multiple things at once (or being pulled out of deep work by notifications, emails, and Slack messages) increases your cognitive load and reduces the quality of your work. You know how your computer slows down when you have 27 different apps and tabs open at once? The same thing happens in your brain 🧠 So, what can you do to fix this and get more out of your day? Stop multi-tasking. 🤭😆 *cue eye roll and muttered "easier said than done"* We know, we know. It's not always that simple BUT you can set yourself up for success by creating positive habits to remove distractions and anchor your workflow. We suggest closing down everything that isn't directly related to the task at hand and muting your communication channels (eg. emails, messages and social media). Then, dedicate 60-90 minute blocks to deep, uninterrupted work on that most important task. Take a break to check your notifications, walk around, stretch and get a drink of water. Rinse and repeat. Every successful person or anyone aspiring to be successful should understand the importance of time management. It boosts productivity, improves efficiency, and reduces stress. While many tools can help, Google Calendar remains my favorite for its user-friendliness. Here's a simple guide to get you started: 1. Access & Create: Open Google Calendar (calendar.google.com) and sign in. Click on a date/time slot to create an event (e.g., "Client Meeting"). 2. Customize: Set the start/end time, add location (optional), and include a description or invite attendees. Click "Save." 3. Reminders: Don't miss deadlines! Set reminders while creating an event to receive notifications beforehand. 4. Color Coordination: Differentiate your schedule categories (work, personal) with color-coding. 5. Recurring Events: For weekly meetings, utilize the "Repeat" option to automatically schedule them. 6. Stay Updated: Develop a habit of reviewing your calendar daily to remain on top of your commitments. By following these steps and experimenting with different features, you can effectively use Google Calendar to manage your time and improve your productivity. Why your productivity is slow When I first became a Virtual Assistant and Digital Marketer, I struggled to keep up with all my tasks. I didn't know how to prioritize tasks or even automate. Then, I discovered some simple ways to improve my productivity: ✅ Create a daily to-do list: Each morning, I write down all the tasks I need to complete. This helps me stay organized and ensures I don’t forget anything important. ✅ Use templates: For emails, reports, and other frequent tasks, I use templates. This saves a lot of time because I don’t have to start from scratch each time. ✅ Set clear priorities: I rank my tasks by importance and urgency. This way, I focus on the most critical tasks first and make sure they get done. ✅ Take breaks: I take short breaks throughout the day to rest. This keeps my mind fresh and helps me stay focused when I return to work. ✅ Learn new tools and automate: I regularly learn about new tools and software that can help with my tasks. I also use tools like Zapier, and MailChimp to automate emails and posts. These changes made my work smoother and more efficient. Try them and see the difference!
