🔥🔥🔥 Friday hot take: there’s nothing wrong with 100% utilization… …if the 100% accounts for tasks *outside of project work.* At Float, we encourage 100% utilization with the understanding that this percentage must account for non-billable tasks. Say you are a professional services team with a 40-hour work week → your designers could be 100% allocated in Float, with the 100% broken down into: • 34 hours of billable utilization spent on client deliverables And then: • 2.5 hours of internal meetings, synced from their Google calendar • This week’s 1 hour-long internal training session • 2.5 hours for all other admin and ad-hoc tasks—because we all know they happen every. single. week, and pretending they don’t won’t make them go away 😉

Share a helpful time management tip for office administration professionals. *Prioritize tasks using the Eisenhower Matrix* 1. *Urgent & Important (Do First)*: Tasks with deadlines, crises, or significant consequences. 2. *Important but Not Urgent (Schedule)*: Long-term projects, planning, and relationship-building. 3. *Urgent but Not Important (Delegate)*: Interruptions, emails, or tasks that can be handled by others. 4. *Not Urgent or Important (Eliminate)*: Time wasters, busywork, or non-essential tasks. This matrix helps you: - Focus on high-priority tasks first - Reduce stress and feeling overwhelmed - Increase productivity and efficiency - Make informed decisions about task delegation or elimination By applying this tip, you'll optimize your time management skills, streamline your workload, and achieve more in less time!

Virtual Executive Assistant | Online Business Manager |Procurement & Supply Chain Specialist | Streamlining Operations and Driving Efficiency with premium workflow support.
Do you own your time? Time is an asset for us to own. We wear the hours we bring like a badge of honor. Our 8-5 jobs are an indicator that we trade time for money. How many hours do we really utilize out of the 8 or so hours we are at work? Are we optimally productive the entire time we are in the office? I know what you're thinking but what's the average concentration span for humans? What if we focused on trading value for money instead of time for money? This would mean that we focus on the value and not how many hours we clock in office. Many of us will work 8-10 hours and provide the same amount of value that other people will bring to the table in 2-3 hours. And I bet you the people who work 2-3 hours are showing up more strategically and are heads down working when they have a work section. They show up with intention, streamline their processes and plan their time well to ensure they are productive. Most of us are on autopilot. We just go in, log our time and then we leave. Adding value focuses on the end result. It creates space for you to show up at a higher level. It also shifts focus to being solution oriented. As a virtual administrative assistant, I have learnt to reclaim my time and streamline processes for optimum performance. Looking for ways to own your time, I am your secret sauce to optimizing your time. Dm me and let's reclaim your time.

The average professional spends about 30% of their time dealing with administrative tasks. The kicker is that while these tasks are important, they do not HAVE to be done by you. In the end, these tasks are hurting your productivity, costing you money, and burning you out. Let’s talk some numbers… Say that as a business owner you make $150,000 per year. That boils down to about $72 per hour, assuming that you work a 40 hour week. (Cue laughing because we both know you work more than this. But hey, I need a hard number!) Given this assumption, roughly 12 hours of your work week is being consumed by things you could outsource. You are paying yourself $864 per week to do something that a virtual assistant could do for half the cost! It makes smart business sense to hand off the administrative tasks. You outsource all kinds of things in your business, why not buy back some time? What will you do with an extra 12 hours per work week? You will acquire more business to make more money! Or, because you have an extra 48 hours per month at your disposal, you will take a damn vacation because you deserve one! Here are a few things I could lend a hand with: ➡ Kickstarting those wish-list newsletters ➡ Putting the finishing touches on your rebranding efforts ➡ Nudging those proposals that have been weighing on your mind ➡ Doing the legwork to chase down those overdue invoices ➡ Being your accountability buddy giving you a supportive space to just get your ideas out and the ball rolling. We've moved beyond counting hours. We count output now, at least in the tech sector. There's a certain practicality about having some defined times during the day and week where people are available to work through things quickly. But for most tech workers, particularly software engineers, they should be able to work whenever they want to work. As long as they show up to meetings and they're building the software that needs to be built in the time frame allotted to build, counting hours seems like an unnecessary waste of time and effort. It's easy for me to tell if an engineer is doing their job, the work will either get done or it won't get done. There's no faking it. https://lnkd.in/e2zeFy3n

Need a quick OOO message? Steal these ⬇ I love a good Out Of Office message because it’s a chance to set boundaries, communicate your humanity, and automate response time expectations. All while taking time away from the office knowing that people are not expecting you to respond to emails. Bliss! An OOO message for when you want to keep it short, sweet, and effective - “I am out of the office and will be returning on Tuesday, July 9th. If this is an immediate need, please reach out to xyz@company.com. Thanks for giving me the time to spend away from work this weekend” An OOO message for when you want to be a little personable - “You caught me out of the office taking advantage of PTO. A benefit that I am grateful to take advantage of. I’ll be spending without service in the Northwoods of Wisconsin. Grateful to have the opportunity to spend time disconnected. This means I’ll be slow to respond to any emails or slacks. If nothing is pressing, I’ll get to it on when I am back on Monday, July 8th. If it is urgent, please reach out to xyz@company.com. Thank you and I look forward to responding when I am back” My standard OOO template - Hey there! I’m out of the office from xx date to xx date. for a long weekend taking full advantage of the PTO I am afforded. I’ll be chasing my toddler around and hopefully sneaking in some zzz’s while baby sleeps. Wish me luck! I’ll be back on xx day. If you need anything while I am out, please reach out to xx@company.com. Chat soon!” Remember, make it your own! Use your own communication style. Some people don’t want to share details of their personal life in an email, and that’s ok. The important aspects of an out of office message include: - The dates you will be out of the office - The date in which you will return and be responding to emails - Another contact to reach out to (if urgent or applicable) - A way to humanize your message Now close that laptop and enjoy your holiday ☀

The Art of Time Management for Executive Assistants ⏰ Mastering time management is a game-changer for executive assistants. It’s not just about scheduling tasks, but about creating a rhythm that allows you to tackle everything with efficiency and poise. Here's a fresh take on making every minute count: - Prioritize Tasks: Focus on high-impact activities first. Identify tasks that align closely with your executive’s goals and tackle those head-on. Using techniques that help you categorize tasks by urgency and importance can ensure that your time is spent where it truly matters. - Use Digital Tools: Leverage calendars, task managers, and reminder apps. Tools like something even as simple as Google Calendar can help you keep track of tasks, deadlines, and appointments, ensuring nothing slips through the cracks. - Set Boundaries: Allocate time blocks for focused work and breaks. This not only boosts productivity but also helps in maintaining mental well-being. Techniques like Pomodoro can break work into manageable chunks, keeping you fresh and focused. - Plan Ahead: Always have a backup plan for unexpected changes. Flexibility is key, so having a contingency plan for meetings, travel, or other scheduled tasks ensures that you can adapt on the fly without losing your stride. Effective time management isn't just about keeping a schedule—it's about creating space to handle anything that comes your way with ease. Your ability to manage time efficiently will make you an indispensable asset to your executive and the organization. #ExecutiveAssistant #TimeManagement #Efficiency #ProductivityPro #OrganizationalSkills #CareerGrowth #AdminSupport #ProfessionalDevelopment
