Step-by-Step Guide to Addressing Objections for Venue Owners 👇 "No worries at all. I understand it's a big decision to choose the right venue for your event. Just out of curiosity, what are you looking for in a venue, and how have you found the options you've considered so far?" When a potential client says they're not interested, it's often just a reflex—perhaps due to overwhelm or previous experiences. The goal is not to push but to understand their needs better and guide the conversation gently. If they respond, "We've looked at a few places already," you might follow up with: "That's great! Finding the right fit is important. What has been your impression of those venues? Is there something specific you felt was missing?" This question helps you engage them in a conversation about their specific needs and experiences without being too pushy. If they say, "We're pretty happy with what we've seen," you could then suggest: "That’s good to hear! I might also collaborate with a concierge service that specializes in securing exclusive event tickets. 2- Contact Event Organizers: I could also reach out to the event organizers directly. They might offer last-minute tickets or have a waitlist for VIPs. Also, they can check for any cancellations or returns through authorized ticket sellers.

When we started with the core idea of a platform for finding venues, we spoke with multiple event makers worldwide. Despite the event's size, the struggles are often the same. Let's highlight a few of them. 1. Finding a venue. The search is often limited to one of 3 choices - google/social networks (79%), know places (83%), and a close circle of contacts (100%). In over 60% of cases - the search stops at the 5th venue. It does not mean that the venues on this list will satisfy the maker. And here is why -> 2. Aggregating unified information All venues provide related information in various ways. There is no unified approach and every event maker has to organize this data manually every time and re-check approximations and facts. What adds fuel to the fire -> 3. Communication & Negotiation. It is never stable - chats, calls, messengers, emails. While makers are collecting information and comparing the opportunities the dates can be booked by someone else. Puff! Everything worsens when one of the sides is going dark for some reason. Full Steam Ahead here at ExistLive. We are in the process of rebranding check out the new overview. Our research team did a deep dive into ticketing competitors, and we are still the lowest. Some ticketing platforms (no need to mention THEM) make it so difficult to know what the event organizer is paying in the end. Some of them end up at the 30% service fees, they hold your ticket sales, and don't provide contacts for those buying tickets making it impossible to communicate with their audience. Use convention bureaus, venue finders, and online sources to help you find all the options available to you. Make sure when you have all the options in, you are comparing apples with apples. A site checklist is handy to make sure you have all the elements available to you in the venues you are considering, and then you also want a simple matrix to consider the costs of each element of your event. Especially if it is a multi-day or complex event. Outline all the costs for each venue and then break this down to a “per person” price so you can see what the real cost outlay is. Today, I want to share a simple checklist. It’ll help you organize any small gathering for family and friends. 1. Clearly outline the purpose and goals of the event 2. Set a budget for the venue, vendors, marketing, and other expenses 3. Establish a timeline with key milestones from planning to execution 4. Set deadlines for tasks such as venue booking, vendor selection, etc 5. Research and visit potential venues that meet your requirements 6. Consider factors such as capacity, location, amenities, and cost 7. Secure vendors for services like catering, audiovisual, and decorations 8. Obtain quotes, negotiate contracts, and confirm arrangements 9. Arrange transportation, parking, and signage for the event 10. Set up a list of guests, and seating arrangements 11. Send out the invitations 12. Plan engaging activities 13. Ensure all preparations are in place on the day of the event 14. Coordinate with staff, and vendors to manage logistics 15. Follow up with thank-you notes. Follow these steps, adjust everything to fit the specific needs and scale of your event on the go, stay organized, and don't forget to celebrate your success afterward!
