6 things you need to consider when you're looking for a new visitor management solution. 1. Security Once a visitor arrives at your facility their safety is your responsibility. 2. Privacy The data security of a visitor management system isn’t just about living up to regulations like GDPR. As more and more systems extend to include employee sign-ins for hybrid workplaces a data breach could turn into a physical risk as details about where different employees are located within your building becomes available to outsiders. 3. Legal considerations You need to consider how a solution will affect your company when it comes to compliance with regulations like GDPR, ITAR, HIPAA or FedRAMP. 4. Budget When it comes to budget it's not just about the price of a solution. It's also about the operational costs of a system. How much does it cost to maintain that system and how well does it scale with your needs over time? The cost of a paper and pad sign in sheet is the cheapest up front, but the amount of time you need to put into that system to make it work in a modern business makes it a lot more expensive that just paper and ink. 5. Recent advancements in 'forgot password' solutions—like sending temporary passcodes via SMS, resetting passwords through email, or using biometric data for quick recovery—highlight how services are becoming faster at responding to changes in user data. These methods not only minimize disruptions but also enhance overall user experience by acknowledging that while passwords are crucial for security, they often complicate access to essential services. Consider the hassle of forgetting a login when you urgently need to report sick via an HR system or update an appointment in a dental clinic's scheduling tool. Similarly, updating your address is critical for services like online shopping delivery or utility services. Yet, changing this info isn’t always straightforward during crucial times, like finalizing a home purchase or managing a hectic move. Service providers can address this by simplifying data updates through user-friendly mobile interfaces or direct links in service notifications. Good Service Design Principle #13: RESPOND TO CHANGE QUICKLY tells us it’s vital to understand why personal information is required and how it's used, allowing users to control their data effectively, which boosts trust and relevance. ✨ Applying this Principle ✨ Organising in-house trainings and workshops has taught me that sign-ups often happen well in advance, leading to about a 10% no-show rate due to life’s unpredictable nature. Recognizing that our sign-up system wasn't ideally suited for easy late cancellations, I began sending friendly reminders via group chat right before events. These messages not only provide essential details but also foster a sense of community and offer a direct line to me for any last-minute changes. This strategy helps manage attendance more efficiently and builds relationships early, setting a welcoming tone for the event. 💡 By actively managing changes and anticipating user needs, we transform potential disruptions into opportunities for enhanced engagement and loyalty. ➡️ Next, we’ll explore why we humans need to understand the reasons behind a “computer says no.” ____________________________________________________ If you’re building products or offering services just like me, you are in the business of ‘helping someone to do something’.
