Last week, I tackled 𝐢𝐧𝐯𝐨𝐢𝐜𝐞 𝐚𝐮𝐭𝐨𝐦𝐚𝐭𝐢𝐨𝐧 for a small business client with just a handful of employees. 𝐂𝐡𝐚𝐥𝐥𝐞𝐧𝐠𝐞: They were manually creating invoices from a spreadsheet, which was time-consuming and prone to errors. My mission was to automate the entire process, from invoice creation to sending email reminders. 𝐇𝐞𝐫𝐞’𝐬 𝐰𝐡𝐚𝐭 𝐰𝐞 𝐝𝐢𝐝: ● Designed an invoice template (e.g., [sheets] Invoice, Customer, Settings) ● Set up an email template ● Ensured each spreadsheet row had all the info needed to generate an invoice ● Extracted data from Excel ● Generated PDF invoices and saved them to Google Drive ● Created and sent emails with the invoices attached ● Set up automatic payment reminders 𝐓𝐡𝐞 𝐫𝐞𝐬𝐮𝐥𝐭? It’s working flawlessly! They’re thrilled not to spend 15-30 minutes on each invoice, and the solution automatically takes care of reminders. ... 📝 Documenting workflows, procedures, and policies is critical for delegating work while maintaining consistency and efficiency in client work. You can’t delegate effectively without clear guidelines—heck, you may not even be able to do the work well yourself without clear processes. “The hardest part of going for a run is putting on your shoes.” Don’t let yourself be overwhelmed with the thought of crafting up workflows. Start small, with the easiest ones to implement that will create the biggest wins for you. 1️⃣ Document where you are comfortable—likely a spreadsheet. Then, import it into a workflow app to add fun elements like client communications and tasks, dependencies, and automation. Always be iterating. Don’t think you need to build the perfect workflow. Just get started. 2️⃣ Build your workflows based on the outcome you are trying to achieve. • Work backwards from the goal of the process. 3️⃣ Build your workflows based on milestones. Bookkeeping could look like this: • Collect/verify receipts • Clear bank feeds • Reconcile accounts • Review and report • Close books • Add subtasks, best practices and descriptions as you go. 4️⃣ If it is critical it gets done, even if it seems silly to add it as a task - add it. Closing the books is critical and seems like such an obvious task. But it’s easy to forget, and the fallout can be enormous. Don’t let starting be the thing that stops you. What could go wrong with your finance implementation? I asked Catherine Jirak, Nick Blades and Philip Peck that question, and they gave a variety of answers that looks like a how-to guide on what to do...and what to avoid. More at www.AFPonline.com and https://lnkd.in/dBTNxtX. Some of my favorite bits about where clients go wrong: ➡ Overly focused on features. Too many clients just define the features and functions that they are looking for, but it’s even more important to define what business objectives are paramount to the success of the project. ➡ Vendors who agree too easily. Avoid vendors that just agree with everything their customer says. Our customers spend a lot of money on their implementation partners and are looking for our advice a lot of times. We encourage our teams to push back on the customers when we believe they are going down the wrong path. ➡ Cost cannot be the only decision criteria. The choice of the software vendor and the implementation partner should incorporate a balanced approach, looking at multiple variables and lenses. ➡ Remember...An IT implementation is not about the technology and the go-live date; it is about integrating people and data to facilitate business planning.
