Ship Ease helps organizations just like yours address the dated time consuming process of creating shipping labels and tracking packages by automating the entire process with data already in your ServiceNow platform. Everything starts with a shipment template. This is a reusable component where you define the types of shipments your organization sends out. Let's create one and look at some of the options available to you. Navigate to the new template menu item under Shipment Templates. This form is broken down into two key sections. First, the service information is where you will pick things such as your carrier, the service type, delivery confirmation, and the carrier account the shipment should bill to. You can also specify if you need a return label generated when this template is used for an outbound shipment, say in cases of loaner hardware where you're expecting something returned from the end user. Next you have the Package Information tab. This is where you specify the uniform package dimensions that are necessary for accurate shipment rate calculations. Once you filled in the rest of the mandatory fields on the form, you can save the template. Now you're ready to create a new shipment using this template, so click Create Shipment at the top. On the new shipment form you will first notice the recipient information. You may select a user in the ship to field or pick an address from your organizations saved address address book. If the address you're shipping to is not already in your address book but would like to save this for future shipments, check the New Address checkbox. Remaining on the right side of the form you will see a field to relate the shipment to a ticket. This field allows for selecting the most common tasks such as incidents, requests, and work orders. Important shipment information will be populated in the next few fields once you have created the shipment label. Moving down the form we see our shipper information. This is the from on an outbound label. The Ship from location field references the location table and service now, but this can be overridden with the check box. Next, we have a few advanced shipment options for insurance and if the shipment contains a lithium battery, label messages allow you to include helpful reference information on the printed label, and this might include the related ticket number, a PO number, or any other string of text that is applicable for your organization. The last two tabs will be important after the label has been created. Tracking history shows an activity feed of updates from the carrier, and notes allow for agents to document important information related to the shipment if necessary. Once your shipment record is filled in, click submit or right click on the form header and choose save to stay on the form after creation. At this point you are ready to create your label with the button at the top of the form. If all information is provided and valid, after a few seconds you will see a PDF or PNG attachment depending on the file format property attached to the shipment with you're ready to print label. You will also see the shipment details populated on the right such as the tracking number, ship date, and shipment cost to call out a few. As your shipment progresses through the carriers network, you want to remain up to date on the latest status of your shipments. This is where the tracking history field comes into play. Each scanned by the carrier is received on your instance and updates with key activity, including the timestamp, location, and description. If the update is a shipment exception, such as a delay, a checkbox is ticked and you can keep track of your delayed shipments on the ship's dashboard. A common use case we see is bulk employee onboarding, where HR provides an export of employee information that your asset management team can take and create 1050 or even hundreds of labels at once for all outbound hardware the new employees will receive. Behind the scenes, notifications are sent to the recipient with each tracking update right to their inbox or the ServiceNow mobile app if enabled, and no longer need to add call time to your service desk metrics to check the status of a shipment.
