I remember a special time when we did a walkthrough at a new location. From the first moment, we knew this venue would be unique, but we also encountered some challenges. During the walkthrough, we found that the acoustics needed special attention, and we had to place some equipment differently than planned. This early check made sure the event went smoothly and professionally, leaving guests with unforgettable memories. For venues we know well, we don’t need a walkthrough. But for new or unique locations, we always recommend it. The presentation location was a function suite of a famous stadium. A visit to the room the day before saved a major headache. How? It is always wise to visit the room beforehand. Do anything humanly possible to make it happen. You will spot minor details to adjust. And sometimes major issues to avoid. In the above example, the organiser was assiduous in his approach. He did not need to be convinced of the need for a visit. He insisted upon it. The room was amazing. It was bright, spacious and had stunning views of the pitch. Presenting in this suite would be a joy. But one thing didn’t look right – there were two screens in the general seating area. We got off the stage and tried sitting in the seats next to the screens. From here, you could not see the podium. We moved along a few seats. You couldn’t see the podium from here either. Turns out that for around 10% of the seats in the room, the audience members would not see the speaker and vice versa. If 10% of the audience are completely disengaged from the start, the speaker has a big problem right away. And the problem grows quickly over time. Anyway, the organiser was able to brief the venue and the seats were rearranged so that everyone could see. It took several people a few minutes to make the change. Can you imagine trying to attempt this once the event has started? Visit the room in advance every time. You will always be glad you did.
