Luxury Sales & Operations Assistant Cape Town Key Objective: The goal of the Luxury Sales & Operations Assistant is to assist the Sales Team in creating bespoke itineraries for clients in an efficient way and operations on final itineraries and handovers. The Luxury Sales & Operations Assistant will work alongside the Sales Team to provide administrative support. How: Checking availability and postponements ( Work closely with the Sales and Operations relations manager ) QUOTES AND PROPOSALS Check availability and create proposal as requested by the Sales Team Send an email with a short outline of the tour, attach the quote and send to link to the sales consultant Monday, Thursday and Friday. Schedule time to work with operations on final itineraries and general requirements. Keeping up to date with your personal product knowledge in order to suggest alternatives when there isn’t availability. Taking initiative when the availability doesn’t match up by swapping the itinerary around etc. 2 Provisional & Confirmation Bookings Provisionally book all services as per the availability check request above Ensure all financials are correct and make sure that the reference numbers are in Travelyst for the provisional bookings. Ensure that all provisional not proceeding are released. Ensure that all confirmed bookings are correct as per Travelyst. Submit Handover files from the sales team to accounts. **ENSURE payment dates are noted 3 Wetu & Travelyst Create a Wetu itinerary as per request from the Sales. Careful attention to detail, adding detailed information about the itinerary. No spelling mistakes and no grammatical errors. Use travelyst where possible. Ensure that all extra details are listed in the activities and in the daily run down. 4 Administration Ensure all client invoices are kept up to date Inbox management when the operations is on leave. Adhoc tasks from the Line Manager as requested. 5. Accounts and handovers New handovers : 2 weeks after sale handover all accommodation invoices. Add follow up date activities and transfers handed over no later than 70 days before travel Postponed files : Ensure credit notes are in place Flights are booked Refunds are noted and allocated in the file with the reference numbers. Add follow up date activities and transfers handed over no later than 70 days before travel. Cancelled files :- Zero out all services where we are not liable for cancel fee Add any credit notes to the booking - highlight and make accounts aware Update with cancelation invoices and fees if any Note any credits due on paid bookings in the handover to accounts. Keep in cancelled status on the file when handing over. Issue Quote Inbox management when the operations is on leave. In this exclusive interview, we delve into Naziya’s experiences as she generously shares insights into how she has built and maintained credibility and the myriad challenges she has faced and triumphed over as a woman navigating the hospitality landscape. What sparked your interest in the hospitality sector, and how did this interest guide your path to assume the role of Senior Sales Manager at Alila Kothaifaru Maldives? My interest in the hospitality sector was sparked during my early career days when I ventured into the tour operating industry as an assistant fresh out of school. Exploring the uniqueness of our islands and witnessing the expansive potential of the Maldives within the hospitality realm captivated my intrigue. However, my journey took a detour when I transitioned to one of the largest telecommunication companies in the Maldives, and It was during this period that my fascination with sales and marketing began to blossom. Navigating through various roles within the trade sector, I eventually found my way back to my passion for hospitality when I joined a pioneering tourism establishment. Over the course of 12 remarkable years, I steadily climbed the ranks from an assistant to eventually assuming the role of a regional sales manager. Along this journey, I had the privilege of contributing to the pre-opening teams of prestigious properties, enriching my experience and knowledge within the European and UK markets. However, a pivotal moment arose when I decided to momentarily step away to pursue further academic endeavours, culminating in the completion of my MBA in Strategic Management. This academic pursuit not only broadened my understanding but also paved the way for my current position as the Senior Sales Manager at Alila Kothaifaru Maldives, a property under the esteemed Hyatt corporation umbrella. In essence, my journey within the hospitality sector has been a tapestry of diverse experiences, each contributing to my growth and ultimately leading me to a fulfilling role where I can continue to thrive and contribute to the industry I hold dear. As a successful woman in the hospitality sector, what specific challenges have you faced, and how have you navigated them? As a woman in the hospitality sector, I’ve encountered several challenges along my journey, but I’ve approached them with resilience and determination. One significant challenge has been breaking through traditional gender biases and stereotypes prevalent in the industry. In many cases, there’s been an assumption that certain roles or positions are better suited for men, particularly in leadership or managerial positions.
