Do customer support/customer service representatives have bad days? Yes, they do. Do they have emotions? Yes, they do. Are they humans with flesh and blood? Yes, they are. While there's a common saying, "CUSTOMERS ARE ALWAYS RIGHT," the reality is that customers are not always right. Yes, you heard me correctly. Another saying goes like this: "CUSTOMERS ARE KING." Indeed, they are because they possess the resources (money) that we work hard to obtain. However, it's essential to recognize that the king is not always right. My approach as a customer service guardian is to always hear the client first. 🧚♀️🧚♀️🧚♀️ I ask the appropriate questions, however it’s important the client understands that this is their moment. I actively listen and respond with the correct prompts. I reassure the client, never taking offence to the frustrations or hurt they might have experienced. I let the client speak and only reply when they have finished. It is universally acknowledged that customer service experiences can be quite unpleasant and negative, with the customer’s emotions running high. It is important for me as the guardian to never react with emotion, because as soon as emotion is involved on both sides- the objective is lost. A manager or someone senior may be requested and that is something to be avoided. Consulting with third parties for information is usually required in filling in the gaps with an issue. Using time management skills including using pre-populated context templates can limit the time required to take the client’s information. Keeping the client updated is very important, especially during busy sales periods when there can be a high volume in customer service calls and delays are sometimes inevitable. At these times, it is important the client is aware of the progress of their issue and feels trust that their guardian will resolve it in a timely manner. The objective is to keep calm and to resolve the issue as smoothly and efficiently as possible. Working as a guardian means dealing with situations that arise quickly and a good guardian knows they need to use problem solving skills to get to the root of the issue swiftly to ensure customer satisfaction. This means always being reassuring, never making false promises to the client and keeping the client updated of the process. I had a terrible experience with a customer service representative. I reached out to customer service regarding an order discrepancy. (what I ordered vs what I got) I actually ordered a waist trainer, on receiving the order, it was completely different from the one I saw and ordered. Upon stating my complaint, the customer service representative insisted that what they sent was what I ordered. She seemed unapologetic and uninterested in resolving my issue. It required multiple follow-ups to finally get the right order for me. It is very important to note that customer service representative should be empathetic towards customers and this is one the required skills as customer service representative.
