I saw a recent comment on LinkedIn saying the Solution Engineering Framework was game-changing for proposal writing, and of course my curiosity was piqued. By my understanding, the framework was established in 2015 and is focused on: ☑ Using critical thinking and analysis to develop client-centric proposals ☑ Addressing the needs and challenges of prospective clients with a customized and validated solution ☑ Emphasizing innovative approaches and technologies with a clear implementation plan and timeline ☑ Discriminating your company against the competition by answering, "Why your company?" Document Control Modes in Technical Writing In technical writing, how we manage the creation and revision of documents can impact the final product. There are several document control modes that teams can use, each with its own pros and cons: 1️⃣ Centralized Control: One person controls the document throughout the process. This method is useful for maintaining consistency and when working towards strict deadlines. But, the non-controlling member may leave others feeling disconnected from the process. 2️⃣ Relay Control: The document is passed sequentially between team members. It's a democratic process where each member contributes their expertise but can be slow and less efficient as it requires coordination and often leads to delays. 3️⃣ Independent Control: Each person is responsible for their assigned section. This is great for remote teams working on distinct parts but often requires an editor to unify the document, and could reflect a lack of agreement within the group. 4️⃣ Shared Control: Everyone works on the document. It's highly collaborative and productive only if the team is in strong coordination and agreement. The trick is figuring out the best method that works best for your team and the project. A. Compliance is a top priority in document control. I stay up-to-date with relevant regulations and standards, such as ISO standards or industry-specific requirements. I establish document control procedures that align with these regulations, including document approval workflows, access controls, and periodic audits. By conducting regular compliance checks, I ensure that documents are managed by the applicable regulations and guidelines.” 🔹 Q. Can you share an example of a time when you implemented process improvements in document control? A. In my previous role, I noticed that document retrieval times were inefficient, resulting in productivity issues. To address this, I proposed and implemented a centralized document management system that incorporated advanced search capabilities and intelligent metadata tagging. As a result, document retrieval times decreased by 30%, improving overall efficiency and reducing the time spent searching for critical documents.

Just spoke with a prospect who is using the company's accountant to... BE THE FINAL REVIEWER FOR MULTI-MILLION DOLLAR PROPOSALS!?!? Why, you ask? Because she was a former teacher. (Not even sure if she was an English teacher.) The sad part is something similar is probably happening in your organization right now. Who's reviewing your technical reports, memos, proposals, and SOPs? Are they qualified to do so? If so, what makes them qualified? What issues are being caused and or compounded by a brilliant "Director of Engineering" who is tasked with reviewing the team's work for things like flow, argument, and clarity when they've never been trained how to review for things like flow, argument, and clarity? Being a great engineer for 25 years doesn't magically make you a great editor or reviewer; even if you know how to run spell check and operate Grammarly. Quality control for documentation is vital to your business and its reputation. Who is in charge of yours?

I am very fortunate to kick off the week with a couple of documentation projects. To be honest, I am not particularly excited about it, and I doubt anyone in history has ever been thrilled about writing documentation. (Well, maybe a few historians, but that's likely it!) Nevertheless, I understand the importance of this task in my work and aim to approach it positively. As I begin to write, I ponder how we can make this process more enjoyable. I believe that with some preparation, we can streamline the task. For example, gathering all necessary information beforehand, creating a detailed outline and breaking down the task into smaller parts can help make it less daunting. By taking these steps and maintaining a positive outlook toward the work at hand, transforming this tedious duty into a fulfilling one is quite plausible. Remember, ensuring thorough documentation is a significant aspect of our roles as responsible engineers. It not only facilitates efficient communication and collaboration but also serves as a crucial reference for future projects and troubleshooting. By giving due attention to detailed documentation, we can enhance the quality, reliability, and maintainability of our work.
