Every morning, like clockwork, I dive into my trusty project management app, a digital jungle teeming with tasks, deadlines, and projects in all stages of completion. It's an organized chaos where some projects are on the brink of success while others are still mere seedlings. My coworkers and I pour our hearts and minds into these ventures, ensuring each gets the spotlight it deserves. Making Adjustments When Things Go Off Track 🔄 Oh no, your project just hit a pothole! Tasks are delayed, the budget is giving “balloon animal” vibes, or scope is creeping like a nosy neighbor. But hey, don’t hit the panic button! Today, we’re tackling what to do when the wheels start wobbling. And yes, we’re keeping the energy rolling from yesterday’s milestone magic! Here’s how to turn chaos into calm: 1️⃣ Take a Deep Breath (Seriously!) Stop, drop, and breathe. Panicking doesn’t fix anything. A clear head helps you figure out the next steps without accidentally adding fuel to the fire. 2️⃣ Assess the Situation What’s the deal? Missed deadlines? Resource drama? Sneaky scope changes? Dig into the root cause. Tools like Monday.com or Asana are lifesavers here for reviewing tasks and timelines. 3️⃣ Reevaluate Your Priorities Sometimes you gotta Marie Kondo your project tasks. Focus on what *must* be done and toss out the “nice-to-haves” for now. Efficiency is key when the clock is ticking! 4️⃣ Communicate with Your Team Don’t leave your team guessing! Be upfront about what’s happening and what changes need to happen. Honesty keeps everyone aligned, and it’s a great excuse to throw in a pep talk! 5️⃣ Realign Goals & Deadlines Dust off your project plan and give it a makeover. Deadlines might need stretching, or you might need to resize the scope. Make sure your goals fit the new reality without turning into mission impossible. 6️⃣ Implement New Strategies Old problems sometimes need fresh solutions. Shift resources, try new tools, or shake up workflows. Remember, flexibility is your superpower! 7️⃣ Monitor and Course Correct Often Don’t “set it and forget it.” Keep an eye on progress and tweak things as you go. I've been there, done that more times than I can count: ✅ Said “yes” to tasks that added zero value (just stress). ✅ Watched teams burn hours on “urgent” work that died in a stakeholder’s inbox. ✅ Learned the hard way: Great PMs aren’t task collectors; they’re value hunters. But these “small asks” are wolves in sheep’s clothing. They’re non-added value creep: tasks that drain your team’s time, derail focus, and deliver ZERO real impact. Here’s the truth: saying “no” isn’t just about scope. It’s about killing busywork posing as progress. This shift will increase 🖇️ team morale 🖇️ team well-being 🖇️ quality outcomes 🖇️ successful project completions If you can turn your project timeline into a tool for success and support, rather than a source of anxiety; that is your winning concept! This is one of those concepts that anyone can benefit from and that certainly includes those of us who are dealing with a #chronicillness / recovering from a #longtermillness. An example: In order for me to showcase my art, I need to get together framing, packaging, branding, personalization… it is A LOT for someone suffering from chronic illnesses. However, I have not dropped my dreams because clearly I can’t do things according to a certain timeline or how I used to function. I need rest and I have to accept it. This means I will 🖇️ give myself PLENTY of time 🖇️ keep my plans flexible to include any amount of resting days 🖇️ do my shopping online as much as possible 🖇️ work in small steps, small task at a time, rest in between 🖇️ listen to my body 🖇️ accept the fact I don’t have the luxury of “I need to get this done today” 🖇️ not replace those things I need to do in order to keep myself on an upwards curve with those things that will bring me backwards 🖇️ acknowledge every milestone 🖇️ celebrate what I’ve been able to do 🖇️ accept the additional time needed (this project would have taken the old me a few weeks to finalize but it has now taken me months) Even though you have to learn to accept your limitations, it doesn’t mean you have to give up your dreams. Adjust according to what you can do and keep looking for ways to save your energy as every drop counts.
