In my role as a Tech HR professional, I’ve learned that the success of any organization lies in the interconnectedness of all its teams. While a software company heavily relies on its developers, business analysts, IT, and other core teams, it’s equally dependent on the often-overlooked office staff, such as cleaners, kitchen personnel, and support staff. These individuals form the backbone of daily operations. Imagine a day without clean offices, functioning kitchens, or logistical support—productivity would come to a standstill. Just as developers depend on office staff for an environment conducive to work, the office staff rely on competent, ethical administration for direction and fairness. I’ve observed that the strength of an admin team is reflected in the behavior of the office staff. When admin teams are ethical, professional, and responsible, they foster a culture of accountability and respect. ‘However, dishonest or irresponsible admin often create an environment where certain staff feel protected despite unprofessional behavior, while others, who are honest and hardworking, may face undue pressure or unfair treatment.’ A critical part of my role has been to ensure that every individual—be it a developer, business analyst, accountant, or office staff feels valued and supported. I strive to build policies and practices that promote equality, fairness, and respect across all teams, ensuring no one is overlooked or undervalued. At the end of the day, every individual contributes to the organization’s success, and recognizing this interconnectedness fosters a stronger, more united workplace culture.

We interviewed HR Coordinator Becka Ruiz-Guerrero to find out more about her job at Open Door and what being a HR Coordinator is like! Q1. Can you tell us what interested you in working at Open Door? A1. I was drawn to Open Door because of its strong community focus. The mission statement (when I was hired), which emphasizes 'providing quality care regardless of barriers,' deeply resonates with me. After experiencing high costs for care elsewhere in Humboldt County, I appreciated knowing that Open Door is committed to accessible, high-quality care for everyone. Q2. What is a typical day like working as a HR Coordinator in the medical field? A2. Each day as an HR Coordinator in the medical field is both varied and consistent. I spend a lot of time addressing employee questions and supporting daily HR functions. Recently, I've been focused on implementing our new HRIS system, which has been both exciting and challenging. Q3. What do you like best about your job? A3. I enjoy interacting with people at all levels of the organization. Solving problems with different departments to achieve our goals has been particularly rewarding—it's an experience I didn’t have in my previous jobs. Q4. What advice would you give someone who is interested in working as a HR Coordinator? A4. Start by gaining a solid foundation in HR, including knowledge of labor laws related to wages, resignations, and terminations. Focus on developing effective communication skills and make an effort to understand your organization well. HR often serves as the first point of contact for employees seeking specific employment information, so being well-informed and communicative is key.

🤝 Building Bridges: The Dynamic Relationship Between Executive Assistants, HR, and Administrative Assistants 🤝 In any organization, the harmony and efficiency of operations often rely on the seamless collaboration between various departments. Among these key players are Executive Assistants, HR professionals, and Administrative Assistants, each contributing unique skills and perspectives to the table. 🌟 Executive Assistants (EAs): The right hand to executives, EAs are the linchpins of productivity and organization. Their role involves managing schedules, handling correspondence, and serving as gatekeepers to ensure smooth operations at the executive level. EAs are adept at anticipating needs, problem-solving, and executing tasks with precision, allowing executives to focus on strategic objectives. 🔑 Human Resources (HR): The heart of any organization's people management, HR professionals play a pivotal role in recruitment, onboarding, training, and employee relations. They ensure compliance with employment laws, foster a positive work culture, and address personnel issues with empathy and fairness. HR professionals collaborate closely with EAs to facilitate seamless transitions for new hires and provide support for employee-related matters. 📊 Administrative Assistants (AAs): The backbone of administrative functions, AAs handle a myriad of tasks to keep the day-to-day operations running smoothly. From managing calendars and coordinating meetings to handling paperwork and office logistics, AAs are masters of multitasking and organization. Their attention to detail and resourcefulness contribute to the overall efficiency and effectiveness of the workplace. 🤝 Collaboration in Action: The synergy between EAs, HR, and AAs is a testament to the power of teamwork. By leveraging their complementary skills and expertise, these professionals enhance productivity, streamline processes, and create a supportive work environment. Whether it's coordinating events, resolving conflicts, or implementing new policies, their collective efforts drive the organization towards success. In conclusion, the relationship between Executive Assistants, HR professionals, and Administrative Assistants is one of mutual respect, collaboration, and shared goals. Looking to leave administrative assistance behind and chart a path into Human Resources/People Operations! (I have previous experience.) For a very long time I have wrestled with what I should do for work — should it be about the money/benefits because I have a family to feed, should it be about what I’m interested in? So many questions I had to answer. One day I was trying to explain to my husband that I didn’t know what I wanted to do but that I loved to help people grow and believe in themselves. I’ve always been a firm believer that you always have room for improvement, and I think everyone is capable of achieving greatness with a little push and some help. Then it clicked, I need to do something that helps me help others with their growth and development. Having been an admin for nearly 15 years, I noticed every company I worked at had slim-to-none education/career paths for administration staff looking to move out of the field; this fueled my passion for growth and development because I believed all employees should have options of defined career paths, not just specialized / more billable employees. I want to do my part by working within HR to change the career paths (or lack there of) for admins, and carve new ones for anyone else struggling to make a break for it. If you have any learning suggestions for my new path, please let me know! And if you know of any job openings, please reach out!

You can set yourself up for a Happy New Year by making some simple but effective changes to how you do things at work. Throughout January we’ll be sharing some of our 'Top 3' actions you can take, to make managing your team easier and enhance your reputation as a good employer. Simplify your HR administration Simplifying your HR admin includes replacing unnecessary paperwork with secure, digital files, automating processes to save time and using appropriate tools to keep things organised and accessible. It also means focusing on what truly matters – your employees. Software, such as Breathe, offers a one-stop shop for HR administration enabling you to: 1 - Make holiday administration more manageable: It won't be long before people start putting in their holiday requests. Some will be taking advantage of the January sales to book bargain trips, others might prefer to leave it later to take advantage of last minute deals. Implementing leave planning tracking software, such as Breathe, can make managing requests a lot easier - allocate statutory holiday, block out your busiest periods, allow everyone to see who's where and when, and respond to request in seconds. 2 – Save and share HR documentation in a secure cloud-based location and track who has read and acknowledged announcements - such as important policy changes. 3 – Book your team’s one-to-ones, set & track objectives and record training, making it super easy to monitor progress and performance. If you'd like to make life a little easier for yourself and your employees, take some time to research which software would be right for you. We recommend Breathe to many of our clients and we'd be happy to show you how it works, but other software is available and it will depend on your business size and structure as to what works best for you. Comment 'interested' below or send us a message if you'd like to know more about HR admin software or would like help getting your HR admin sorted out!
