Certified Mgmt Consultant | CIPM (IAPP) | ICP-ATF | Certified Privacy Engr | Lead Auditor ISO 27001 & 27701 & ISO 14001 | Risk Mgmt Professional | PDPA Trainer | Agri-Tech | Solution Designer | ISO22000 Implementer
This is the list of documents needed to comply with the PDPA. I normally skip the Gap analysis since almost all organisations do not comply so because it is not a gap but a hole. Thus, I normally jumps directly into mapping the organisation's data flow process, analyse their IT setup and provide recommendation to streamline and also secure the data accordingly. I don't like to go through the theory process so that I can save time and get things done much faster.
I often observe confusion regarding the essential documents required for PDPA compliance, even among PDPA consultants. Consequently, I have compiled this list to ensure that organizations have the necessary documentation in place. It is advisable to use the terminology established by the PDPC to enable auditors to quickly grasp the contents of the documents and to ensure everyone is on the same page. I have noticed some consultants attempting to differentiate themselves by coming out with terms like "External Policy," which is essentially the Privacy Notice intended for publication on a website; so simply use Privacy Notice will do. In compliance, we try to use standardised terminology instead of coming out with ambiguous terminology. For those who have completed the WSQ Practitioner Certificate in Personal Data Protection, I provide a range of supplementary documents during the training. Participants complete these as part of the learning activities, which equips them to assist their organization's Data Protection Committee in finalizing these documents upon their return. My hope is that in this way, organisations can comply with the PDPA with all the essential documentation drafted.

Martin Hoskins has triggered off an exchange on training for DPOs etc. Here is my ha'penny. Whatever DPO training option you choose, the decision about training provider is not just about time and costs. The objective is to ensure that you or your member of staff receives the best quality training from leading experts in areas where DP knowledge is essential. This maximises the chance of enhancing DPO knowledge (and passing any exam with a good mark). The syllabus is an important selection criteria. For example, IAPP’s CIPP/E is a Foundation Level Course, and its syllabus focuses on the European GDPR and raises general features common to all EU data protection law. By contrast, Amberhawk’s courses focus on the British Computer Society (BCS) syllabus and the detail of the UK’s version of the GDPR and the DPA2018 (and any later modification). Most other training providers should have the syllabus in the public domain, and like Amberhawk, prepare candidates for any exam. The BCS syllabus is unique in that the syllabus and exam are the responsibility of BCS; the training provider only covers the content of the syllabus. This avoids the potential conflict of interest that arises when a training provider, syllabus producer and examiner is the same body. Due diligence is necessary. In summary, it boils down to a question of “horses for courses” where the "horse" is the syllabus and how well it fits with your training objectives, and the "course" is the quality of the training provider. Check both out before you choose.

For a side project, I would like to talk to a few people who have done some data protection certification such as the "Professional certificate in data protection" (level 9) by UCD / IOB / Compliance Institute in Ireland (I know this one, this is an example) as well as talking to those providing such courses. I am interested in courses that deliver a DPO type certification. For my purpose, they would have to be run by a reputable EEA-EU based organisation (it means if not headquartered / run in the EEA, don't reply). I am not interested in IAPP certifications as their program is well known, nor am I interested in DPO certifications that can be found in a box of washing powder (I remember as a kid some gave toys) nor those found in Kinder eggs. The side project would be to compile a list of a few courses available and to understand what they offer to whom.
