It's #veterinaryreceptionist week, so we want to take a moment to recognize these individuals' pivotal role in contributing to the optimal functioning of a veterinary practice! Pictured here is the amazing front desk team at Perry Hall Animal Hospital in Baltimore, MD . They have been a VetBilling partner hospital for 10 years! Perry Hall was one of the “early adopters” of VetBilling because of the alignment of values around #accesstocare . So what does a veterinary receptionist DO? The boring answer is that they answer phones 📞, greet clients, 👋 schedule appointments, 📆 and collect payment for services. 💵 But that falls far short of describing their superhero role! 🦸♀️ 🦸♂️ 🦸 Here's part of the actual job description: VETERINARY RECEPTIONIST, aka: Phone ninja. 🥷 📞 Client greeter. 🤝 Appointment scheduler extraordinaire. 📆 Poop-and-pee-cleaner-upper. 💩 Prescription label sticker-onner. 💊 Conflict resolution specialist. ☮️ ✌️ Foreign language interpreter ("I would like my puppy's distemper vaccine 'with no corona'" ?!? => true story!) 🤣🤣🤣 Financial negotiation guru. 💵 Fine line walker. 🤸♀️ Hurt feelings soother. 🤗 Animal comforter. 🐶 🐱 Practice management software wizard. 🧙♀️ 🧙♂️ 🧙 Text message manager. 🔔 Chaos surfer. 🏄♀️ 🏄♂️ 🏄 Carb-and-caffeine aficionado. 🍕 🍩 🍭 ☕️ 🍫 🍵 Pet-hair-on-everything modeler. 👖 👚 Composure maintainer. 😑 Printer paper refiller. 🖨️ 📑 Email maven. 📧 Inventory tracker. 📈 Versatility champion. 🏆 Now, we ask you, is "veterinary receptionist" even the right job title, or should it be "INDISPENSABLE SUPERHERO"??? 🦸♀️ 🦸♂️ 🦸 Have more stellar skills to add? Drop them in the comments below 👇 #vetbilling #veterinarian #vetclinic #vetteam #clientcare

Many people have asked us if we are a veterinary Spanish translation service. After telling a bunch of people "no", we decided maybe this is how vet clinics really need help. We are offering document translation services (based on word count). Relying on Google Translate/Chat GPT might be cheap and easy, but is it accurate? If you need veterinary document (client education, forms, etc) proof-reading by a bilingual DVM, let us know! Also...Option 2 is WAAAY more than just document proofreading, but don't tell anyone... 🤫 #vet #vetmed #vetclinic #clinic #animalhealth #spanish #diversity

The CCR (client care representative, also known as veterinary receptionist) position is arguably the most important position in terms of client relations and communication. It also doesn’t have as robust of a training list like credentialed techs and vet assistants. When I think of CCRs, I think of personality and empowerment!! 💪🏼 No matter how you have your clinic set up, they are the faces of the clinic. They need to be able to make decisions without having to ‘go ask’. So ask yourself…how can I empower them? 🤔 ☑️ Let them make decisions when it comes to helping clients, scheduling appts, adding appts, refilling a medication for a client last minute (but not too often 😆), and utilizing fear free approaches to keep patients calm upon arrival. ☑️ Make sure they know who they can go to and connect calls to depending on the questions clients are asking. ☑️ Let them help determine when a client is a good fit for the clinic. The way the clients treat the CCRs is important. ☑️ Give them time to get to know the clients and greet them by name (don’t only greet by the pet’s name). ☑️ Coach them to have difficult conversations and when to get help with a conversation. Don’t allow your CCRs to be treated poorly. ☑️ Allow time to be spent with new clients so they can tell them about the clinic. This is especially important for clinics that are focused on branding and finding their ideal client. ☑️ Provide them with CE opportunities geared toward veterinary reception (yes, those exist!) This position isn’t meant to be a stepping stone or a way to get your foot in the door. The number of times I have heard that… 😠 This is a position that can be a career and they deserve to be paid well and empowered. How do you empower your receptionists?

📞✨ Phone Etiquette Tips for Veterinary Receptionists! ✨📞 The way you handle phone calls sets the tone for your client's entire experience with your clinic. Let’s break down 5 must-know tips to ensure every call feels personal, professional, and positive: 1️⃣ Answer within 3 rings ⏳: Don’t keep clients waiting! Answer promptly to show you’re ready and attentive. Aim for three rings to collect your thoughts and prepare for the conversation. 2️⃣ Introduce yourself immediately 👋: “Thank you for calling ABC Vet Clinic, this is Kasey. How can I assist you today?” A warm and clear introduction builds trust right from the start! 3️⃣ Actively listen & take notes 📝: Show clients you care by repeating key details back and making audible feedback like “okay” or “yes.” Be sure to jot down important notes so nothing is missed. 4️⃣ Empathy & sincerity 💛: Understand and relate to your clients’ concerns. Stay patient and respond with care—this helps build a strong connection and keeps the conversation genuine, not scripted. 5️⃣ Know when to transfer 🔄: If you can’t help, don’t panic! Be transparent and find someone who can assist. It’s all about ensuring the client gets the best answer possible. Remember, every call is a chance to build lasting relationships. Pretend you’re speaking to a close friend—it’ll help you stay friendly and approachable. 🐾 #PhoneEtiquette #VeterinaryReceptionist #ClientCare #VetLife #CustomerService
