Projects are temporary endeavors with defined beginning and end and are usually constrained by time and resources. The role partners with project stakeholders, internal customers, external vendors, and cross-functional teams. Facilitates a cross-functional team to execute on defined deliverables and drives key decisions. Common deliverables typically include the project charter, scope definition, requirements documents, work activities, project schedule, risk register, communication plan, resource plan, risk management plan, procurement plans, project budget, quality control plan, status updates, reporting, and tracking. Uses industry recognized/generally accepted PM knowledge, skills, tools, and techniques to achieve a project's stated objectives. Typically, does not independently deliver content or decisions which define final project deliverables. Major Tasks: Leads medium to large and/or moderately complex projects under moderate to minimal supervision. Reporting, communications, relationships, and sphere of influence typically occur within team and key stakeholders. Accountability for planning of resources for tasks, allocation, estimation, & scheduling. Oversees projects which have a typical cycle of 1 - 18 months. Manages actions at this level which may cause or prevent delays and cause inefficiencies of a team and may cause unnecessary expense affecting operational results. Job Title: Project Manager Location: Hybrid Employment Type: Permanent Requirements: · Adhere to company policies and procedures. · Adherence to the Project Implementation methodology. · Obtain relevant sign of and authorization for projects. · Re-engage sales team for contract negotiations. · Do not allow start of work without signed Variation Order unless approved. Operational Initiating · Engage sales team for project handover. · Coordinate and integrate the various project elements during project initiation. · Obtain project charter approvals. · Obtaining authorization for a new project and define its scope, by ensuring that: Project aligned with organizational objectives and customer needs. Planning · Schedule and facilitate kick-off meetings (internal and external). · Completion of project kick off meeting checklist. · Ensure scope of project is understood internally and externally and that only the required work is quoted and scheduled. · Draft the Project Management Plan based on the RFP · Draft the Project Management Schedule based on the RFP · Scheduling of project and resources together with Senior Supplier · Facilitation during quote process. · Analyze scope of work and assemble team for execution in collaboration with the Operations Manager · Build project plan in MS Project and submit for approval. · Enter project buffers and plan for contingencies. · Determine customer expectations. · Identify the change management implications for the associated changes. · Identify the project risks for the project. · Present suggested processes to customer. · Compile scope of work to be done. · Ensuring approval of project scopes, schedules, costs, communication activities, quality management activities, Risk response plan, Integrated change control process and Procurement plan. Closing · Draft a Highlight Report at end of each project phase. · Management and resolution of project close out and lessons learnt. · Facilitate post project review, internal and external. · Transfer the completed product to operations or to close a cancelled project once; Project outcomes are accepted, Project resources are released. · Stakeholder perceptions are measured and analyzed. I'm witnessing an increase in subject matter experts (SMEs) being deployed as Programme Managers. While having the knowledge of the business and SME involvement is critical to a programme's success, this isn't always the right choice. Similar to what I saw in my time in Facilities Management, sometimes the best engineer doesn't always make the best engineering manager- managing is a different skill set. Here are some of the benefits of a dedicated professional Programme Manager: - Specific programme delivery skills. - Less likely to become a bottleneck: with their deep knowledge some SMEs struggle to delegate and get out of the detail. - Able to see the broader picture: some SMEs focus too narrowly on the technical aspects (as they should!) and risk overlooking broader organisational goals, strategic considerations or the need for a diverse stakeholder group. - Communication. SMEs can sometimes struggle to communicate complex technical information in a way that is easily understandable to non-experts. Programme Managers have a distinct skill in working with stakeholders in this way. - Less attachment to the status quo. As SMEs are experts in their field and perhaps even developed established practices, they sometimes have sunk costs or skin in the game that can hinder programme progress. Organisations could consider providing appropriate programme management training to SMEs, but a quicker and much more successful option is hiring a dedicated, experienced Programme Manager who will collaborate closely with the SME.
