Are you a gatekeeper or a concierge? Building out your communications team means finding the right people to talk about your organization in the right way. I was once part of a strategy session where a client had to expand their communications team to include a dedicated person for media relations. We talked about the process of receiving, responding, and delegating requests from media, and the client’s take was this role would be a “gatekeeper.” I quickly offered a different perspective. I said if you think of them as gatekeepers, that’s how they will act, and that’s not what you want. You want a concierge. A good concierge provides two-way service. They are the hotel’s voice for the guests, and the guests’ voice with the hotel. Working in media relations for a large public-facing organization, I often found myself as much an advocate for the media as I was for the organization. People are busy, suspect of the media’s motives, or may simply be uncomfortable being in an on the record interview. My job was to help colleagues understand why it was important to talk to a reporter, and help a reporter understand when we couldn’t. A good concierge can answer any number of questions themselves, freeing up the time of others across the hotel. If they don’t have an answer, they know where to direct you to find it. A good concierge looks to say yes, so that when they have to say no, guests will know it’s not coming from a lack of effort, willingness, or motivation. Some requests genuinely cannot be accommodated. All these attributes and more should define your media relations person. If there’s a general question about your organization’s high-level messages, history, plans and goals, your media relations person should have the ability and agency to answer those questions, without needing to take time away from others on the team. If a reporter needs more specialized information or is looking to profile a specific person, media relations should know who to go to and handle the arrangements themselves to get it booked. “I know just who you should talk to for that, let me check with them about when we can get you some time to talk,” should have the same tone as “I know a great steakhouse in that neighborhood, let me see about getting you a reservation.” Sometimes, the answer for a reporter will have to be no. Before that happens, hopefully you’ve had enough conversations beforehand that the reporter can respect why your answer had to be no this time. The “relations” part of media relations is the most important part of the job. Organizations who think the media relations person is either their sword or their shield are missing the point of the role. Confrontation will never be as effective as conversations. Media relations is a service oriented role, and the people who do it well are prepared to start every conversation with “how can I help you?”

A couple of words on power of LinkedIn. One of my recent projects involved a unique partnership in Turkey, where we were working on upgrading our systems. We were excited to dive in, but there were some roadblocks. Our local vendor couldn’t answer some of the key questions, some of those were just a cost saving, some were a significant security concern. I turned to LinkedIn, hoping to find guidance. I came across an article by Thomas Buchholz related to my situation and decided to reach out. Thomas not only replied but also connected me with Gülümhan Akalın, Director General of Toshiba’s Turkish branch. Thanks to Gülümhan and her technical team, we were soon on a call where they walked us through options to resolve our challenges. This experience reinforced the power of LinkedIn as a tool for collaboration, learning, and connecting with experts globally. A quick message opened doors to the precise support we needed, underscoring how a well-used network can be pivotal in delivering successful project outcomes. Public relations are indeed essential for establishing and maintaining a harmonious relationship between an organisation and its target audience. In Africa, however, there are several factors that limit the recognition and appreciation of public relations. Firstly, the limited communication budgets of companies and organisations in Africa make it difficult to invest in public relations activities. This can result in reduced visibility of public relations initiatives and difficulty in effectively reaching target audiences. Additionally, the lack of trained public relations professionals in some African countries poses an additional challenge. Organisations require skilled specialists to design and implement effective public relations programs. Without these skills, it is difficult to develop communication strategies tailored to the specific needs of each organisation. Furthermore, traditional media in Africa has often been influenced by political and economic interests, which has limited the visibility of business and organisational activities. This situation has made public relations less visible and less valued as a communication discipline. However, there is hope for the future of public relations in Africa. The emergence of social media and new communication platforms offers new opportunities for organisations to manage their online reputation and communicate directly with their audiences. More and more organisations are recognising the importance of these communication channels and investing in online public relations strategies. Although public relations may be less known in Africa due to budget constraints, a lack of trained professionals, and limited media coverage, the evolution of social media offers new opportunities for African organisations to promote their image and communicate effectively with their audiences. It is therefore possible that public relations will gain recognition and popularity in Africa in the future. #publicrelations #entrepreneurs #business
