When is the best time to introduce new employees to the managed travel program? From the very beginning. That may not mean day one (let’s face it, they’ll probably spend most of that time trying to set up their new inbox). But the onboarding process is the best opportunity to present the managed travel program to new employees. You’ll have their undivided attention because they want to understand expectations and establish a foundation for their role within the organization. So, do it right the first time. Last week we had a People team offsite in Mexico to redesign and enhance parts of our employee lifecycle. I did zero planning. My EA made sure the trip was seamless. Here are 15 things she did: 1/ Booked all flights and hotels for all 9 team members attending 2/ Checked in to all flights and made sure I got my preferred seat 3/ Coordinated with the hotel to secure and set up a conference room 4/ Arranged for a private car to pick each of us up from the airport and take us to the airport (since Uber pick ups weren’t allowed at the airport) 5/ Rearranged my entire calendar to accommodate for 2 full days of sessions 6/ Added all travel to calendar including Ubers, airport security, boarding, flight, and buffer time. Flight details and boarding passes were also easily accessible within the invites. 7/ Coordinated all in person logistics include audio/video, transportation, and meals 8/ Actively participated and added value to all team-building activities and working sessions 9/ Planned a walking taco tour 10/ Conducted extensive research on childcare agencies and found an incredible nanny we hired to help take care of one of our team member’s kids 11/ Monitored inbox and managed email volume 12/ Created a feedback and learnings doc for us to debrief the trip 13/ Prepared a Townhall slide to give the team visibility on the trip 14/ Uploaded all receipts to @Float corporate spending solution 15/ Updated our trip budget vs. actuals workbook to summarize our total spend The outcome: we had a very productive trip and maximized the quality of our time together which will lead to great outcomes for our broader team. #executiveassistants #remotetalent #offsites

What I Learned in My First 3 Months at Travelpayouts Reflecting on my initial journey at Travelpayouts, here are the key thoughts: 1. Value of Face-to-Face Meetings: Meeting colleagues offline has been refreshing. In just three months, I’ve connected with nearly a dozen new colleagues, a tenfold increase from my previous job. Looking forward to August to meet more team members in person ☀️ 2. Office Life: Visiting our Phuket office reminded me of how much I miss office life. While I’m not ready to work from the office full-time, a few days a week would be ideal. 3. Validating My Decision: I’m glad I made the move to Travelpayouts. I asked many questions during my interviews and sought opinions from current and former employees. The vibrant corporate culture at Travelpayouts (& Aviasales) was no surprise to me as well as many other things. 4. Importance of Organization: While organizing systems and documenting processes may seem tedious, it pays off significantly. It makes it easier for newcomers and cross-functional teams to navigate without having to ask for details constantly. #CareerJourney #FirstThreeMonths #ProfessionalGrowth #NewBeginnings
