Ensure each unit’s plan correlates to the strategic themes of the organization, integrates with other business unit plans, and is aligned with aligned with the Enterprise Planning Process. · Support the quarterly status report-out of each unit’s business plan by: o facilitating the development of each unit’s Quarterly Report Meeting (QRM) presentation package; o facilitating the review of the data for quality and accuracy; o providing advice and feedback to the business units prior to the review session; o facilitating the meetings as needed; and o capturing and publishing the action items resulting from each meeting. · Support the monthly status report-out of each unit’s business plan by facilitating the corporate-wide update of the Corporate Metric Tracking (CMT) system and reviewing the data for quality and accuracy, including: o quality assurance and analytic evaluation of metric data to ensure consistency, timeliness, accuracy, and an independent assessment of progress toward the achievement of business unit targets; o troubleshooting and resolving report issues; and o researching, evaluating, and implementing a new or revamped reporting system solution.

Let's understand how to approach the following problem as a Business Analyst. 𝐏𝐫𝐨𝐛𝐥𝐞𝐦/𝐒𝐜𝐞𝐧𝐚𝐫𝐢𝐨: Acme Corp, a major utilities provider, has implemented a new billing software system. However, after the first month of usage, a significant number of customers have reported discrepancies in their bills. Some customers were overcharged, while others weren't billed at all. The CEO is concerned about the company's reputation and potential revenue loss. 𝐒𝐭𝐞𝐩𝐬 𝐭𝐡𝐞 𝐁𝐮𝐬𝐢𝐧𝐞𝐬𝐬 𝐀𝐧𝐚𝐥𝐲𝐬𝐭 𝐜𝐚𝐧 𝐭𝐚𝐤𝐞 𝐭𝐨 𝐫𝐞𝐬𝐨𝐥𝐯𝐞 𝐭𝐡𝐞 𝐩𝐫𝐨𝐛𝐥𝐞𝐦: Data Gathering: 1. BA contacts Customer Support to gather data on the type, frequency, and patterns of reported billing discrepancies. 2. BA reviews a sample of erroneous bills to understand the nature of errors. Stakeholder Interviews: 1. BA meets with the Finance team to understand the expected billing process and any recent changes that might not be reflected in the software. 2. BA discusses with the IT leaders to understand if there were any software updates or server issues around the time the discrepancies started. Process Mapping: BA maps out the current billing process in the software, identifying points where errors might occur. Root Cause Analysis: After analyzing the data and mapped processes, BA identifies that the discrepancies began after a recent software update. A particular module responsible for applying discounts was malfunctioning, causing bills to be calculated incorrectly. Recommendation & Implementation: 1. BA collaborates with the Software Development Team to communicate the issue and recommend a fix. 2. BA suggests implementing a temporary manual review of the most substantial bills until the software issue is resolved. Testing & Validation: 1. Once the software development team addresses the problem, BA oversees a series of tests, comparing the software's output to manual calculations. 2. BA also recommends conducting a parallel run with the old system (if available) to ensure the updated software's accuracy. Communication: 1. BA collaborates with Customer Support to communicate to affected customers about the issue, the steps taken to resolve it, and any adjustments made to their accounts. 2. BA updates stakeholders on the solution and ensures preventive measures are in place. Documentation & Training: 1. BA documents the entire incident, the solution applied, and any changes to the software or processes. 2. BA coordinates with the training team to ensure that relevant teams are trained on any new software updates or processes. By following these steps, the Business Analyst not only addresses the immediate issue but also works to prevent future discrepancies and improve customer trust.
