Maximising your video production budget while working with a team doesn’t have to be complicated! 💸 Here are some tips to streamline yours: 𝐒𝐭𝐚𝐫𝐭 𝐰𝐢𝐭𝐡 𝐚 𝐫𝐞𝐚𝐥𝐢𝐬𝐭𝐢𝐜 𝐞𝐬𝐭𝐢𝐦𝐚𝐭𝐞 Before diving into specifics, get a general idea of the budget range. This helps secure funding or manage expectations for personal projects. 𝐁𝐫𝐞𝐚𝐤 𝐢𝐭 𝐝𝐨𝐰𝐧 List all potential expenses, from equipment rentals to location fees and talent. There are many budgeting templates available online to help you categorise costs. 𝐁𝐮𝐢𝐥𝐝 𝐢𝐧 𝐚 𝐛𝐮𝐟𝐟𝐞𝐫 Unexpected costs are inevitable. 🎬 **Avoiding Costly Missteps in Monthly Client Agreements** Signing up for monthly clients can be a boon for video editors like us, offering a steady stream of work and income. However, there's a critical mistake I've learned from firsthand experience that can turn this blessing into a burden. One of the biggest pitfalls I encountered is assuming that clients will shoot the agreed-upon number of videos per month. More often than not, they fall short of their commitments, leaving me with incomplete projects and a financial gap to fill. Here's the thing: Clients may sign up for a certain number of videos per month, but life happens, and their shooting schedules don't always align with our expectations. When the month concludes, and I've dedicated time and resources to editing, the last thing I want to hear is that only a fraction of the agreed-upon videos were shot. This discrepancy between expectations and reality often leads to disputes over payment. Clients argue that they shouldn't have to pay the full amount since they didn't utilize the agreed-upon services fully. As a video editor, this not only wastes time but also impacts our livelihoods. So, before committing to monthly clients, it's imperative to establish clear terms and conditions. I've learned to communicate upfront that regardless of the number of videos shot, the agreed-upon fee stands. This ensures that my time and effort are valued and compensated fairly. Remember, transparency and clarity in agreements can save both parties from unnecessary frustration and financial strain. By setting expectations early on, we can foster stronger client relationships built on mutual respect and understanding. As video editors, we often face the challenge of managing multiple revisions and change requests from clients. Here are my top 3 tips to maintain your sanity: 1️⃣ Strive for Minimum Viable Products (MVPs) in your initial versions: Tell the story concisely without over-polishing Leave room for feedback and changes Avoid getting emotionally attached to early versions 2️⃣ Be prepared to let go of your favorite parts: Clients may request cutting out sections you love Remain objective and trust the client's vision Express concerns professionally if changes could be detrimental 3️⃣ Save each version as a separate sequence/timeline: Easily revert to previous versions if needed Avoid reconstructing entire timelines from scratch 🔍 Bonus Tip: Discuss revision limits upfront with clients: Set a finite number of revisions to manage expectations Charge for additional rounds to incentivize focused feedback Streamline the process for both parties' time and resources By following these pointers, you can navigate the revision process smoothly, maintain a professional approach, and deliver polished videos that meet your clients needs.

I spent 840 minutes editing this sample for a potential client. Got a big NO upfront. A little backstory: Me: Delivers the file. Mentions the pricing. Him: “I love it…. But your prices are bizarre” Me: Sure, it might be bizarre, but the reach/sales you’ll get will be worth the ROI. Him: No thanks. I think I’ll pass. It’s not the first time I’ve had a client pass on to my offer based on pricing. Here’s what you see: A high-retention video polished to perfection. And here’s what you don’t see: - 14 hours of focused hard work - Careful attention to minute details - Finding the right balance between client’s vision & your creativity Buyers need to understand that a video editor doesn’t charge merely for his service. This internal review system is REALLY working… Here’s what we’re trying: (This is for internal video editing revisions on client work) For context: We currently have 4 editors working on a single project. That’s a big mess to keep contained. But, we’re using a file naming and storage system that keeps everything SUPER clean and easy, and it all happens in Frame.io. With 1 click, I can see everything that needs my review, is pending edits internally (meaning I sent it back and it's being worked on), what’s in the client’s hands, and what they’ve (the client) approved. It starts with the file naming system, where each video file has a project name, video #, and version 3 IN the file name. Then, it goes into an “edited” folder, where each video has it’s own folder, and each “version” has it’s only folder inside of that. The editor will upload their video version(s), and change the status to “needs review.” It gets fed to me. I leave my feedback directly in Frame, and kick it back to them by changing the status to “PENDING REVISIONS” Or, if it’s client-ready, it gets changed to “Waiting Client Review” status, and added to the client-facing public share in Frame.io, where the client can add their feedback and kick it back to us, OR approve it and download it straight from Frame.io. "How long is it going to take to edit my video?" How much time you got?! Listen, I've been working in video my entire life. I've edited thousands of videos from features to event sizzles, and I still have never given an exact accurate estimate of how many hours a video edit is going to take. But time is money. So if you want to keep your post-production budget in check, here's my top three tips. 1. Don't set a deadline, set a release date. A video is never really finished, it's just screened. Get it out in the world and then work back from there. 2. Consolidate your feedback. My biggest pet peeve in editing is getting that last minute request that should have been caught a long time ago. 3. The fewer cooks in the kitchen, the better. We get slowed down waiting for everyone who appeared in the video to sign off on it. Designate one person as the official content expert. Make it easy for your editors and you'll see your videos come through on time and on budget every time.
