How do you make a decision about what to do first when your list is stacked with too many things? Prioritise is the obvious answer but what happens when alongside your to-do list you're also contemplating big decisions? What happens when your to-do list isn't just made up of dozens of small jobs but also a few large time-consuming projects too? It's easy to get overwhelmed by everything whizzing around in your head and end up doing nothing at all. Here are my top five tips to help free up some brain space so you can think clearly again and pinpoint your priorities: 1) Take out your notebook (or keyboard if you find it easier to take electronic notes) and write down EVERYTHING you've got on your mind, even the smallest most insignificant things. Empty it all out of your head onto paper. 2) Now you've got it all in one place, tidy it up a bit by grouping related things together so that when you get to them, you can tackle them at the same time, saving energy by avoiding constant context switching. 3) If you notice lots of tasks under one particular group, that is possibly a good place to start prioritising your efforts as it indicates a big gap in your business. 4) Still not sure what to tackle first? Or find that you're avoiding something? Write about it. How do you feel about it? Are you worried? Do you lack knowledge? Whatever it is, don't edit yourself. Write freely. Whatever you come out with, question why you feel like that. Keep asking why until you've nothing left to write and with any luck you'll have identified the cause of the problem and can take steps to solve it. 5) Still can't get a handle on things? Find someone who's also in business who you trust and can talk things through with. It's incredible what a fresh pair of eyes and second brain can bring! Of course, you can talk to a business buddy for advice but they have so much of their own stuff to deal with, they might not have the brain space to support you, too. Lately, I've been mulling over this question. As small business owners, it's so easy to get swept up in the day to day - emails, meetings, endless to-do lists that seem urgent but don’t really move our business forward. And here’s the kicker - just because you’re busy doesn’t mean you’re being productive. For me, it boils down to intention and impact. Are you tackling tasks that truly matter and move you closer to your goals, or are you just filling your day with stuff that keeps you spinning your wheels? Many of us find ourselves juggling multiple tasks, often feeling like there’s never enough time to get everything done. Fortunately, there's a way to tackle this issue effectively. One of the most effective strategies is to prioritize your tasks. Start by identifying what truly needs your attention today and what can wait. Consider adopting time management techniques such as the Pomodoro Technique, which encourages working in focused bursts while allowing for regular breaks. This can significantly enhance your concentration and energy levels. Another great tip is to learn to say no. This might seem uncomfortable, but it's crucial to protect your time and prevent overload. Set clear boundaries about what you can take on, and don’t hesitate to delegate tasks when possible. Collaboration can lighten your workload while fostering teamwork. By taking these steps, you create a more manageable work environment, reduce overwhelm, and ultimately improve your performance and satisfaction at work. What about you? This is a process I run through when business gets a bit too messy. Like when you feel your mind is splitting in 342 different directions. Or when you feel like everything is falling apart and it's draining your energy. 1) Take Note Of How You Feel Pull out a notebook and write down: - What parts of the business you feel are letting you down - Which parts of the business if you improved would make everything else irrelevant or easier 2) Prioritize, Remove, & Restructure The reason you arent getting the results you want is because: - You aren't prioritising what is important - You aren't doing more of what is working - You stopped doing the things that got you results Prioritize the things that will get you results. Remove the things from your day that don't deserve to be there. Restructure your time, team members time to free up more time to work on what is important. Get the chaotic structure of your business on paper and re-organize it. 3) Create A 3 Month Plan You are in a chaotic spot in business because of entropy. The organisation of your business (and your mind) tends towards disorder if you don't perform housekeeping. This is dangerous because you and your team can pick up bad habits along the way. Old working patterns are hard to break. But the more clarity you have the process is easier. Take 10 minutes. Write out every single thing you need to do for the next week. (also for your team) This is simple if given the time. This is how you reduce resistance and make better decisions. Write out: - Your morning routine - Your get shit done routine - Other team tasks and meeting blocks - Night Routine If it doesn't flow, experiment as you go. Go back to your notes and try again. This is how you create a system for your business when shit is messy. It gets more efficient with time if you make this 'business housekeeping' a regular practice. Thank you for reading.
