Covid 2. Her key "take away learning" to create a Personal Operating Manual or "personal user" manual for work. Apparently it's a trend (I never heard of.) It is especially helpful with intergenerational workplaces. It's a short document about your work style to help others relate well to you. Agency founders, do you want your employees to respond to messages even on their days off? I know many of you would say YES. There are urgent tasks that only certain people can handle (or access). So, your team may call, text, or ask for support even though it is their day off. I understand this, but it doesn't mean I agree with it. These expectations can lead to employee burnout. From the business perspective, it also presents a 𝐤𝐞𝐲 𝐩𝐞𝐫𝐬𝐨𝐧 𝐫𝐢𝐬𝐤. This means the absence of crucial personnel could disrupt company processes. So, when building my agency, I spent a lot of effort creating processes that are: 𝐒𝐭𝐚𝐧𝐝𝐚𝐫𝐝𝐢𝐳𝐞𝐝 ↳ Empower team members to take full responsibility and assign it when they are away. ↳ Create detailed SOPs with step-by-step instructions ↳ Establish a detailed scope of work for each team member. ↳ Build a transparent workflow with clear deadlines. 𝐒𝐲𝐬𝐭𝐞𝐦𝐢𝐳𝐞𝐝 ↳ Manage all documents in one accessible and transparent system. ↳ Establish clear communication channels for both internal and client communications. ↳ Set regular meeting schedules and emergency contact procedures. 𝐀𝐮𝐭𝐨𝐦𝐚𝐭𝐞𝐝 ↳ Automate repetitive tasks like data entry, report generation, or client notifications. ↳ Use CRM software, automated emailing, and scheduling tools to automate these tasks. ↳ Automate data flow between tools (e.g., from CRM to project management software). Also, we encourage a speak-up culture so that employees can freely give feedback and suggest adjustments to streamline the system. One of the core tenants in our company is: 𝐑𝐞𝐦𝐞𝐦𝐛𝐞𝐫 𝐭𝐨 𝐓𝐚𝐤𝐞 𝐓𝐢𝐦𝐞 𝐎𝐟𝐟 (and I really mean it).
