"The penalties mark the latest wave of a sweeping two-year enforcement probe targeting Wall Street's use of so-called "off channel" work communications such as text and WhatsApp messages in breach of rules which require firms to retain certain work-related communications." News like this can often make organizations question communication strategy due to fear and could decide to ban/restrict channels such Text and Whatsapp channels. Yes, these channels when used as P2P (person-to-person) setup is isolated, unapproved and pose a threat to business operations. Here are some best practices for text, whatsapp, and other channels for usage ✅ Consent gathering - ensure you have consent to text, this consent is for the organization. It is unclear how this consent can be propagated to other vendors/applications you use and/or is an employee can use the gathered consent as approval to reach out from their personal devices/applications ✅ centralize communications. Deploy/manage an omnichannel platform such as Botsplash(😃) to keep all conversations at one place and in sync with CRM, internal DB and other vendor integrations ✅ own your text numbers and list them on the website. You should ensure you have sole access to the number that texts are being sent from for your organization and list them on the privacy policy. ✅ retention and archiving tools are important to serve returning customers. Having all their previous conversations, outreach campaign, document shared, engagement details and more at one location helps better agent and customer experience and drastically improve conversions ✅ audit trail for compliance and regulatory purposes is important. Ensure the omnichannel platform have every details on which communication was automated, direct agent send, scheduled send, sent via mobile app or email, and any other related details so that in case of customer inquiry can be fully supported and verified. ✅ Data Encryption both at Rest and In-Transit, this is to ensure all data is securely encrypted when stored, preventing unauthorized access to customer information. ✅ Agent training and education is very important in order to ensure the best practices in place are being adopted and observed. Easy to use platforms encourage agents to use and stay compliant Red flags, risks and practices to avoid or re-evaluate 🚫 agents/employees texting from their personal devices or using non-company authorized/verified SaaS subscriptions 🚫 too many text messages from different vendors / applications. 🚫 ignoring customer complaints or dissatisfaction 🚫 lack of escalation procedures to mitigate issues 🚫 if your contact strategy involves internal + external(outsourcing) call and text engagement, inconsistent branding and messaging can cause issue to reinforce trust and credibility with customers
