The European Data Protection Board (#EDPB) released a website auditing tool for EU #GDPR compliance. The #auditingtool was developed by their Support Pool of Experts and can be used by #dataprotectionauthorities, in addition to #datacontrollers and #dataprocessors companies, to streamline the "preparing, carrying out and evaluating" of #audits. As lately I addressed the #consultancy and process maturity I thought it would be good to address the problem-solving / process implementation, which I perceive to be a huge problem in the privacy/ data protection space. I’ve seen way too many cases, when even for large companies, implementing a process, or #GDPR as a whole is about writing some ”policies” In the context of this post, by BS “consultant” I understand any external or internal person/ entity who believes that a process means some paperwork and the #PDCA are just four random letters. By Professional I understand any internal or external person/ entity, who understands the core principles of problem-solving/ process management So, you have a problem to solve, a new process to implement. What do you do? BS “consultant”: 1. Come up with a solution/proposal; 2. Get approval from management; 3. Write a policy (plus other paperwork); 4. Publish the policy; 5. Report success. Professional: A. Define your problem, the nature of the problem, what is and what is not in scope, involved functions/ systems... B. Define the desired state, what you have to accomplish (the TO-BE situation); C. Document the existing situation (the AS-IS situation); D. Identify gaps between AS-IS and TO-BE; E. Identify alternatives to close the gaps; F. Run a cost/benefit analysis for each alternative; G. Based on previous results negotiate with stakeholders the preferred solutions; H. Define the end-to-end solution; I. Get buy-in or commitment from major stakeholders ; J. Define a plan to close the gaps (including resources, timelines, responsibilities, trainings, preconditions, success criteria… ); K. Get the acceptance/ approval for the plan; L. Define clear measures and ways to monitor the implementation; M. Start implementing the actions from the plan; N. Test the implemented actions (on effectiveness); O. Evaluate progress and make necessary adjustments (on the plan and/or solution); P. When ready, evaluate success based on pre-defined success criteria; Q. Again, make necessary adjustments to the solution; R. Test again the adjusted solution; S. When successful Report the success In practice, it could be a lot more or less complex, but most of these questions/ activities cannot be avoided if you want to have an effective process.
