What is important to you when researching the ideal venue for your event? Over the last few weeks I've been researching venues for my in person workshop on 25/07 and these are 6 things that are at the top of my list. Remember you are your ideal client after all so in my case a gluten free, green conscious, risk obsessed, discerning coffee drinking entreprenuer! ✅️ venue location- is it central for people to get to and are there good public transport links and parking ( I didn't have a car for a long time so bus/train routes always important for me) ✅️venue accessibility- is it wheelchair accessible ✅️ is there REALLY good coffee and a range of food that meets all dietary requirements ✅️ modern fresh well spaced room ✅️ how well the venue responds to your enquiries ( professionalism/politeness/responding quickly/giving you all information you need) ✅️ is there an obvious fire exit out of the room and are there plugs and LOTS of them! Do you take a big sigh of relief when your event is over, Thinking ‘thank god, another done and dusted’ Did it go well? Did your attendees leave happy? Do you know what their favourite thing about the event was? Whist I am sure you do your own personal reflection on the things you thought went well and what could be improved, And hopefully you do a collective review internally with the team involved in the planning and delivery, But do you reach out to your attendees after the event to see what their thoughts on the event were? Interestingly, sometimes the things that you thought landed well with the audience, Could be very different from their perspective. But you will never know if you don’t follow up. And timing is crucial here. Get it out almost straight away so the event and their experience is still fresh in their minds. Sending your attendee’s a feedback survey is a great way to capture valuable insights from your attendee’s perspective, Which will help you continue to improve and evolve the events you do, So they continue to have a lasting and memorable impact on your audience. How do you make sure your event is a hit? It can be overwhelming to consider all the factors. Good content, fun activities, great location, tasty food, flowing drinks, etc, etc, etc. It all boils down to the attendee experience. How do you make sure that’s amazing? 1. Define your value proposition What is the “why” of your program? This will drive everything from the format of the event to the theme, messaging, and content. Make sure everyone from your planning team to the executive team is on board with the event’s value proposition so you have a unified guiding light throughout the planning process. 2. Gather the right people From the initial stakeholders who shape the vision to the suppliers who execute the logistics, every member of your planning team plays a pivotal role. Pick these people carefully. Perhaps most importantly, make sure the team you gather on site is a positive influence on your attendee experience. A team that’s running around stressed will certainly have an impact on your attendees. 3. Optimize the physical space The venue sets the stage for attendee experience and engagement. Every detail down to the food you serve for breakfast can impact how attendees perceive your event. Make sure you carefully walk the space during site visits and consider anything that might detract from the attendee experience. This video breaks down the cost of running the event. Spoiler alert: it's around $175 per person and counting, as expenses keep going up. Most event organizers have upsells, but I don’t have anything to sell at the event. This is a pure passion project to bring people together and celebrate a great milestone. 💜 So, there you go! Time will tell if it's a smart or silly move...... 😁 P.S. I filmed the video yesterday, but since then, we upgraded the food menu, so the food cost is now $27,600 instead of $20,180. If you’re going to be serving food at your event, here are some crucial things to keep in mind: 🍽️ Format: Buffet, plated, or family-style? The choice sets the vibe for the meal – tailor it to your event's personality. 📄 Menu: Ensure the menu includes familiar, delightful, locally inspired, and dietary-friendly options. The more choices, the happier the crowd. ☕ Drinks: Keep everyone refreshed with water, but ditch the plastic bottles. Encourage refillable bottles or provide pitchers and water stations. Don't forget constant access to coffee and tea! Also, be sure to prep your attendees in advance so they know what to expect, where to be, and what to bring.
