I’m on vacation the rest of the week! Here’s the five people who you get OOO replies from. Which one you feeling this week? 😂 The passive aggressive one 😑 "I am currently out of the office and will return on Monday. I’ll reply to your email then, assuming it’s not something you could have just done yourself.” The over-sharer 🗣️ "I am currently out of the office until Monday as I am attending my cousin's thrice-postponed destination wedding, which we are all hoping finally happens this time." The one who can’t disconnect 🤳🏼 “I am out of the office until Monday. However, I can be available anytime for urgent matters or if my input is needed, feel free to reach out to me on email, my personal phone or my emergency contact” The one who just says “f*ck it, I’m out 🤷♂️ “I’m out of the country on a 14 day ayahuasca retreat and won’t have the faculties to respond until I return” The one with the dad jokes 👨👧👦 "Out of the office until Monday. It's 10 days until Christmas, so let's prepare for next week today, reduce overwhelm, get through your to-do list efficiently, and enjoy some festivities. 🥂 Here are some ways to make your to-do painless. Make a list with two columns, a must-do and a would like to do. From this list, allocate some time throughout the week to each task so it's manageable. Then if you have time available, pop in the would like to do tasks. Schedule your breaks. It might seem obvious, but how often do you eat lunch at your desk? Taking time away, even for 15 minutes, can make you more productive—bonus points for getting outside for some air or a short walk. Set time aside to reply to notifications. If you constantly react to messages as they come in, you will struggle to get back the focus of the task. You are not sure “if you need a VA or not”?🤔 Ok, Business Owners this post is for you to read. 👀 1. You are constantly missing Appointments, failing to make Appointments resulting in a backlog of work. 2. There is a pile of paperwork that hasn’t been organised or managed very well. Reminders for upcoming deadlines haven’t been sent out. Oversights can lead to reduced efficiency and productivity. 3. Missing important emails due to lack of organising into folders, sending out replies promptly and filtering the non important ones. 4. Playing the Juggler with multiple tasks and deadlines affecting efficiency and productivity. 5. Not keeping track of payments due and not receiving payments and expenses on time. 6. Your time is not being managed very well, Don’t have your Calendar and therefore not up to date with your schedule. 7. Social Media posts are not being kept up to date, not being scheduled and going out at the time you want. “I am out of the office for the holiday season, but I’ll be online the entire time and available to everyone for everything at all times” 😂 This is a bit of an exaggeration but I do see out of offices in this vein all the time. This kind of out of office is not conducive to re-charging and is a recipe for burnout. My strategy for taking time off during the holiday season is this out of office: “Happy Holidays! I will be out of office from December 23rd to Jan 1st (inclusive). I will be intermittently monitoring email but will only be responding to time sensitive matters. If your matter is time sensitive, please RE-SEND your email with URGENT in the subject line”. This out of office accomplishes two things: 1. I do not need to review and respond to every email and can quickly identify URGENT matters that need to be dealt with. 2. The sender of the original email needs to consider whether their matter is truly urgent and should be resent with the words URGENT on it (spoiler alert: most times the sender does not re-send the email with URGENT because most things are not truly urgent and can wait a few days).
