Let's get back to inbox zero: • Schedule specific times each day to read and reply to emails. Constantly jumping in and out of your inbox drains your productivity. • Apply the four D's: If a task takes less than 2 minutes, do it immediately. If it requires more time, defer it for later. If you don't need it, delete it. If someone else can handle it, delegate it. • Unsubscribe relentlessly. Click that unsubscribe button for mailing lists that bring no value to your inbox. Be ruthless! • Organise emails using folders or labels. Don't treat your inbox as a to-do list or storage space. If you've deferred an email using the four D's, add it to your task list or assign it to a designated "to-do" folder. • Save time and effort by reusing parts of your emails. Make use of canned emails, templates, quick parts, or text expander programs to eliminate repetitive typing. Hit follow for more productivity tips tailored for your small business. Bored of writing the same emails each week/month? ✉️ If you’re fed up of writing out the same emails on a regular basis, perhaps a monthly reminder or request for information, then try using a template to save you time. Write your email and delete the signature. If the email is always to the same person/people, fill in the to field, otherwise, leave it blank - you can then complete that each time you use the template. Select File > Save As…> In the Save As Type, choose Outlook Template and select where you’d like to save it. I have a folder for all my templates which I have a shortcut on my desktop to for easy access. Close the email that you just created and select No when asked if you want to save it. To use the template, just double click on the template in your file system and make whatever changes you need to make. This will NOT change the template so you can add/delete/modify the email contents as needed. #msofficetips #outlooktips

Conditional Formatting in New Outlook is now available. See the slideshow for details. This feature has been in demand by end users because it improves email management and makes your inbox more organized and efficient. Conditional formatting is a feature that allows you to customize the appearance of your messages in the message list. You can create rules that apply a different color to messages that match certain conditions, such as sender name, recipient, and subject line. While you can't change the font size or style or assign colors based on message size, importance level, or flag status like Classic Outlook, this feature still offers a fantastic way to manage your emails. Sometimes, users get confused about the differences between conditional formatting and categories. Here is the easiest way to remember. Conditional formatting is assigned to incoming messages only, whereas categories can be assigned to emails, contacts, and tasks.
