Event planning is in my blood... I've planned everything 21 city tours to one night events - and pretty much everything in between. I love bringing together stories, entertainment and a powerful mission for a night that moves people to GIVE and GIVE BIG. A few years ago, I was working with a nonprofit on the annual event. Picture this: We've been burning the midnight oil, crafting compelling stories, fine-tuning the schedule, and micromanaging every detail from the moment guests arrive to their final farewell. We're in the final stretch, running the pre-event meeting when...wham! The curveball hits. "The emcee we wanted can't make it. But don't worry, I've asked my cousin to step in. He's a hoot!" My heart did a freefall, but I clung to hope. "Does he have any experience as an emcee?" I asked. "Nope, but he's hilarious. Always the life of our family parties." I pressed on, "Is he a speaker at least?" Again, the answer was no, but with the same confidence, "he's funny!" And so, a meticulously planned event went off the rails. Your emcee isn't just a warm body holding a mic. They're the maestro of your evening, setting the tone, connecting with the audience, and making them feel seen and valued. This is how you want your audience to feel. The emcee paves the way for a powerful appeal. So, what became of our event? Well, we stumbled through. Despite the chaos, the donations were higher than expected, thanks to a heartwarming and impactful presentation by our founder. Could it have been better? Absolutely. What about you? If it’s a fundraiser or product or sales event, you want to find as many ways as possible to make money (revenue). However, if it’s an event that is a celebration, free seminar, or community event, you want to find as many ways as possible to minimise expenses (costs). Sponsorship is an excellent way to look at both of these areas and it’s worth doing a bit of research on “how to get sponsors for your event”. Continuing to look at events as a traditional fundraising ecosystem, your speaking program is one of the best opportunities to help increase fundraising dollars during your event. Here are some things to consider when building your program, selecting your speakers, and mapping out the theatrics of the ask. 1. Consider a single theme to weave throughout all remarks. Simplify your message and ensure it's heard and seen multiple times throughout the evening. 2. Review all speaker's remarks for redundancy. If you have more than one speaker during your program, make sure each person says something unique and mission-driven. Everyone has a superpower when they're at the podium. Figure out the best message for them to share, and make it personal. 3. Get copies of each person's remarks and their timing. You need to understand the breadth of your program so your guests are on a consistent journey throughout your event. You don't want to overload them with information too early in the evening or add too many layers too close to your fund-a-need moment. Knowing how long your speakers intend to talk and exactly what they're going to say helps craft the smoothest run-of-show. 4. Plant the seeds. Understanding your guest's experience from the moment they arrive at registration helps create opportunities to share your mission, offers ways to fundraise and support your organization, and leads them into the main program with an understanding of who you are, what you do, and what you're asking of them. I have had the pleasure of working with many of our clients to help craft their speaking program and we get to see firsthand how that impacts guests and their desire to support the evening's cause. Although speaking programs tend to get pushed towards the last steps of your fundraising event planning process, be strategic and take a moment to consider what you're asking your guests to support and how you need them to support you. Start with the fundraising goal in mind, and work backward to help educate guests to learn about your mission and your organization's needs, and then you can select the best assets to represent that goal. #eventfundraising #fundraising #eventplanning
