Halfway through the year already! It's a great time to reflect on what has happened in the last six months and set goals for the months ahead! In the first half of the year I have been able to support multiple different clients on their event, help them save money and work on their future event goals. Are you taking the time to reflect on your events or are you at capacity so it's easy to just copy and paste? It's important to take the time on your post event feedback, make goals for next year while it is still fresh in your mind. Here are some findings I discovered with my clients: 1. Space did not work: I often come into the project after the location has been selected and get the opportunity to be the problem solver when issues arise. It is so important to have the planner apart of the sourcing process, they will bring in insight you wouldn't have thought of! 2. Client didn't think ahead: What does that mean? Event planning sometimes becomes a task list that you check off and there isn't time to think ahead and plan for what can go wrong. Bringing in a meeting planner allows you to take the load off the venue decisions and focus on internal planning. 3. Contracts are bullying you: Have you ever felt like your contract is controlling you? It doesn't have to be like that. You're in control of your event not the contract! I find myself listening to clients talk about how they have to do something because the contract says so. With a seasoned planner, you will get control back and not be fearful of the contract. 4. Vendor / Venue disappointment: Something I keep seeing is clients being disappointed with the service from a venue or vendor because they thought they were going to do a lot more for them then they did. They do not work for you and are only responsible for their specific service, the hotel isn't going to be your coordinator day of and vendors aren't going to clean up the event. Talking about what you do is not pride; it is essential to establish trust and attract your desired clients… And of the best ways to do that now is by sharing content on social media. Here are some content ideas you can share as an event professional: 1:Before and After: Showcase the venue's transformation from a bare space to a stunning setting: complete with decorations, setups, and people. 2:Event Recaps: Share a picture or short video from an event you've produced, worked on, or planned in the past, and share something that you loved most about working on it. 3:Behind the Scenes of Event Setups: Give a sneak peek into the hard work that goes into putting together your events. This can include anything from meetings to conversations with vendors or clients. 4:Knowledge Sharing: Even if you just started your journey as an event professional one month ago, you have already gathered experiences, lessons, and knowledge. Share some of that! Someone will find it valuable. 5: “‘A Day In My Life’: Capture and share short clips of how you navigate your entire day, from making your breakfast to getting transportation, all the way to meetings, site checks, supervisions, and so on. Remember, as an event professional, the content is already happening around you; you just have to take a moment to capture and share it! Have you ever found yourself spending 20 minutes trying to locate an email you need? 🕜 Or sifting through your files, inbox, folders trying to find a document you KNOW you had but can never find it when you need it? It chews up valuable time that you just don’t have, not to mention frustrates the hell out of you! 😡 Too many times you have saved a document somewhere that made sense at the time, thinking you will be able to remember where it is in 6 months’ time, But the truth is, as event organisers – whilst we may be fantastic at organising an event, It’s our filing system that is letting us down and we aren’t working as efficiently as we could. So, how can you make improvements to save yourself time in the process? Here’s what I do….. When I am doing my folder system when setting up my events either in my inbox or one drive, 💻 I break it down into its simplest form. Now, does that mean that I may have a lot of folders set up under the one event or in my inbox….maybe. But it also means, that if I am trying to find something relating to AV, like a quote for example, Then I know I have saved all my AV items under the…..you guessed it…..Audio Visual folder! Briefs, responses to briefs, quotes, invoices, stage designs etc Breaking it down into its most basic, simplest naming system helps your brain to logically make the connection between what you are looking for and where it might be. And like any habit, once you have done this a few times, you don’t need to think about it after a while, it becomes a natural instinct, Saving you brain power for more important things as well as saving you time so you can more productive and become a highly organized event manager! 🤲 What’s a hack you use to help you save time and be more productive?
