Is it Wednesday Already?!? Below is SPEC SHORTS’ Latest Issue, continuing with Professor V. Short’s weekly lessons in Specification Quality. The message that Professor V’s Spec Note is telling this week is one of awareness of an industry-wide phenomenon labeled the “Copy/Paste Approach”, triggered by the following chain of events: Time Constraint Reason: - Poor Project Management. Triggers: - Forgot about the Spec until the 11th hour, and/or - Poor time allocation amongst team members. Result: - Recycling of previously issued Project Specifications; - Increased Contract Administration Time to “Fix the Leaks!” Cost Saving Measure Reason: - Poor Estimate of Project Hours/Budget required to complete the work. Triggers: - Estimates/Budgets are determined without consulting the team; - Unrealistic timelines/budget from Project conception; Result: - Project Team SPENDS creativity on saving time/budget - not on QUALITY. - Addenda, Change Orders, and Change Directives significantly increase! Office’s Master Specifications ARE the launching point of any Project Spec. Similar to a Drawing Standard Template, the Office Master Spec contains years of experience, lessons learned, and SPEC NOTES to guide those tasked with editing Project Specifications. Alternatively, creating a “Sector-Specific Office Master” can save time by removing unnecessary Products and/or complete Sections, leaving only the information required for that Sector of Work. Be Mindful, however, as this practice can lead to multiple “Masters” within the office, so I recommend following an office guideline, to ensure Spec Updates filter throughout all the “Mini-Masters” within the office.
