Heading to ViVE or HIMSS? Here are some great tips to keep in mind...
Key industry trade shows like ViVE 2024 in Los Angeles or HIMSS 2024 in Orlando aren’t just a chance to escape the winter weather for warmer destinations! They can present a great opportunity for executives to establish relationships with journalists from a variety of mediums. Check out our best practices for making the most of your time: 👇👇👇 📅 Plan Ahead: Most journalists attending trade shows start to populate their calendars weeks, if not months, in advance – which is why many PR pros also start early to secure interviews for key subject matter experts. 📝 Do Your Homework: If you’re offered an interview, make sure you have basic knowledge of the outlet, the topics it covers, and their target audience. Frame your responses in a way that’s relevant to their readers. ⏰ Arrive Early: The show floors at ViVE and HIMSS are a maze of vendors, sponsors, analysts, media and more. Hold onto that map you get at check-in! 📢 Have Something to Say: There’s nothing worse for PR pros than sitting through a client interview where the interviewee rehashes old news or espouses cliches. If you want to stand out in the crowd, have something to say. 🤝 Be Realistic: Remember that every meeting does not yield immediate coverage. However, we have repeatedly seen “meet and greets” at trade shows turn into follow-up, in-depth interviews or coverage that seems to be out of the blue months later. 💭 Give Them Something to Remember You by: Have you done a recent study, survey or analysis? An eye-catching infographic with meaningful information and guidance (URL or QR code) on where to learn more can be something that sets you apart from others. 🙂 Be Authentic: This may be the most important tip of all. While you shouldn’t be overly casual and should always keep in mind that nothing is ever really “off the record,” you do want to establish a rapport with the reporter. My friends at CCgroup are masters of media attention at MWC - for those not in the telecom industry that’s the Mobile World Congress held in Barcelona each year. Hope you enjoy their video! MWC brings tens of thousands of senior executives from the top global companies, international governments and trailblazing tech businesses for 4 days in Barcelona. Show floors are packed, the keynotes are amongst some of the most coveted in the tech world. Suffice it to say almost all exhibitors and many people attending want to meet with ~600 media at the show. Industrious reporters have maybe 40 slots at best over their 4-days and most get hundreds of invitations to meet up at the show. Here is how to *win* at MWC 1) Announce your news early in the weeks leading up to the show - once at the show, media are mostly going to focus on the top global telecom/wireless companies. It’s just a fact of MWC life. They have to come home with news to write about. 2) PR professionals and their clients need to be willing to do the work to create real news - No reporter at huge shows like MWC has time for idle chatting or just to stop by and say hi/hear a thinly veiled sales pitch. They have to come home with news to write about. 3) Reporters are not in the business of writing stories to generate your sales leads. Full stop. It’s not their job to do your sales team’s job. While digital marketers have also infiltrated the newsroom and almost all reporters are judged by click throughs to their articles, at the end of the day most journalists are just trying to do their job - write stories their readers actually want to read. (And that editors will pay them to write). 4) Keep your pitches short and very clear. A journalist friend says “IF I actually open the email based on the subject line, each email pitch gets between 3-5 second glance. If I can’t figure out your news in the first two sentences chances are my finger is already sitting on the delete button.” She went on to say “No buzzwords, flowery language and phrases that when you read them out loud just fall flat because we’ve heard them over … and over ... We aren’t here to write flattering copy about your company just because. We have to come home with news to write about.” 5) Be patient. Most of all, please understand it’s a super tough time in the media industry right now with more and more outlets announcing layoffs that are hitting the editorial staff hard. So many former journalists are now freelancing for multiple outlets and it takes a lot longer to get to a yes. Most reporters have families and mortgages too - They want to come home with news that any of their 4 bosses at various outlets will agree to pay them to write. 6) Don’t be a pest. If you reach out to a journalist twice and they don’t get back to you, they aren’t interested. Get comfortable telling your clients the truth - “Our pitch isn’t strong enough” is a good place to start.
