“What is an O-P-S manager? And do I need one?” someone asked me last week. The woman asking me is a self-employed esthetician. She has had her own business for 3 years now and doesn’t have any employees, nor does she plan on it soon. I briefly explained my role, as this was over text, and I shared my own perspective. If I were her and was running out of time, getting behind on purchasing, admin, and strategic planning time, while still treating clients herself; I would opt for a Personal or Executive Assistant to help buy back her time on backend tasks but still deliver the highest client care and level of service. If I were her and had 2 or more estheticians, needing to step away from day-to-day operations, no longer treating clients, and needed someone to support with recruiting, hiring, and managing the business, I’d hire an Operations Manager. What other criteria would you have to hiring an Operations Manager? Anybody can be an executive assistant, right? Its not that hard. Just sit someone in the chair and they'll figure it out. Yeah, maybe, with a bunch of ramp-up time and training. Even then, there are people who just don't have the right skill set or personality. Constant interruptions with new things that need to get done. Figuring out what actually is a priority when everything seems like its at the top. Jumping in to help with something you've never done before because it needs to get done. Knowing a little about everything because you're the first one people will ask. Hiring an EA may not be as sexy as hiring someone in marketing or sales, but we fill in the gaps. We are force multipliers. The experienced ones can hit the ground running upon hire and make an impact in the first days and weeks vs months.

Saw this posted by a fellow EA and thought it's worth a share: "Being an executive assistant isn’t as simple as it might seem. It’s not just about putting someone in the role and expecting them to figure it out. Sure, with plenty of training and time, some might manage, but not everyone has the right skill set or personality for it. The role demands handling constant interruptions, determining what truly matters when everything feels urgent, and diving into tasks you've never done before just because they need to be completed. An EA needs to know a bit of everything since they’re often the go-to person for answers. Hiring an executive assistant might not seem as exciting as bringing on a marketing or sales professional, but EAs are the ones who fill the gaps. They’re force multipliers, and those with experience can start making an impact within days or weeks, rather than months."
