The Art of Organising Life and Records

Embarking on the monumental task of decluttering my home after ten long years was nothing short of a tremendous effort. The sheer volume of rooms, cupboards, and drawers to sift through was overwhelming, and I won't shy away from admitting that it brought me to tears more than once. The emotional significance of each object and the associated memories was tangible, making the challenge before me appear overwhelming.

But as I dove into the process, I began to draw parallels between decluttering my personal space and the meticulous world of records management. The principles I applied to my home—structure, categories, libraries, retention and disposal, organisation and storage, maintenance, accessibility, and usability—mirrored the core tenets of managing records effectively.

Structure and Categories: Just as I categorised household items to bring order to chaos, records management relies on a structured categorisation system to organise information, making it easier to navigate and manage.

Libraries and Cleanliness: Creating 'libraries' or designated spaces for different categories of items helped maintain cleanliness and order. In records management, libraries serve a similar purpose, housing related information in a clean, organised manner.

Retention and Disposal: Deciding what to keep and what to discard was a critical part of decluttering. This mirrors the retention and disposal policies in records management, ensuring that only relevant records are retained, and that outdated or unnecessary information is securely disposed of.

Organisation and Storage: Organising items and storing them properly was key to maintaining a decluttered home. Similarly, records management emphasises the importance of organised storage systems for easy retrieval and maintenance of records.

Maintenance, Accessibility, and Usability: Regular maintenance of the decluttered space ensures continued accessibility and usability, just as ongoing management of records ensures that they remain accessible and usable over time.

After three full weekends of relentless sorting, organising, and discarding, the transformation was complete. The sense of achievement was immense, and I stood back, proud of the order and clarity I had brought to my home. The process was not just about decluttering; it was a metaphor for life and work, illustrating the importance of structure, maintenance, and the courage to tackle even the most daunting of tasks.
