Why You Should Be Adding Automation to Your Systems

Automation is a helpful tool for entrepreneurs to have in place for their business. Before we discuss automation, it is important to understand systems. 

System = Process + People + Tools

Before you set up any automation, you must have your process outlined. Within your business, what are all of your different processes? This includes marketing, sales, client experience, Human Resources, etc. You should outline these processes step by step. Once you have the sequence, you can analyze it and determine which aspects you can automate vs delegate. 

Here are a few reasons why automation should be implemented into your business:

1. Your Time is Freed Up

Automation is having a software perform specific tasks instead of doing them manually. This includes sending emails, scheduling appointments, scheduling social media posts, etc. If a software takes care of certain tasks in your business, now you have more availability to do other types of tasks such as vision casting, revenue generating activities, or handling client work. 

2. Improves Consistency 

Automation allows you to improve your consistency in two ways- timing and messaging. When looking at the timing aspect, imagine that you have a client and you need to send a welcome email 5 minutes after they pay their invoice. With automation handling this task, you can guarantee that each client that takes part in this process will receive the welcome email on time. If you had to do this manually, there will be a lack in consistency and timing of how information is shared with your clients. Your goal is to give everyone the same seamless experience. 

In terms of messaging, you can improve your consistency with automation because you’ll be able to customize a message which will be the same for all customers. This eliminates variations of emails depending who is sending them and improves consistency in your services. This will help you get consistent reviews, returning clients, and referrals.

3. Allows for Multi-presence 

If some things in your businesses are automated, such as social media posts, this allows you to be present on various social media platforms simultaneously, i.e. LinkedIn, Facebook, Instagram, when in real time you may be on a client call. When you have automation in your systems, this allows you to be in different places at the same time. This is important as a business owner because you want your presence to be known so that potential clients can clearly see you and your work.
