Administrative Assistant - Dubai Office If you meet all of the requirements below, please email your CV to careers@norrgroup.com Job Summary: The Administrative Assistant will provide comprehensive administrative support to the team, assisting with the preparation of proposals, coordination, and document management. This position requires strong organizational skills, the ability to multi-task, and a proactive approach to ensure the smooth flow of operations.   Key Responsibilities: - Document Preparation and Management: - Prepare and format proposals, technical reports, presentations, and other documents as required by the Leaders and design team. - Ensure proper documentation is maintained, including project files, meeting minutes, and correspondence. - Organise and file digital documents. - Maintain accurate electronic records for proposals and other documentation. - Coordinate travel arrangements for team members, including booking flights, hotels, and rental cars.   Client Communication and Support: - Serve as a point of contact for subconsultants and vendors, ensuring effective communication. - Handle incoming calls, emails, and inquiries, directing them to the appropriate team member when necessary.   Proposals Coordination: - Coordinate with the Leaders to ensure timely submissions of technical & financial proposals for new projects.   Office Administration and Support: - Order office supplies and maintain inventory. - Support Main Reception activities in the absence of Receptionist. - Perform general office duties as required.   Skills and Qualifications: Education: - High school diploma required; Associate or Bachelor’s degree in a related field preferred.   Experience: - 3+ years of experience as an administrative assistant, preferably in an Architecture, Engineering, Construction, or Consulting environment.   Skills: - Strong organisational and multitasking abilities. - Proficiency with Adobe InDesign software. - Proficiency with Microsoft Office suite. - Excellent written and verbal communication skills. - Ability to handle sensitive and confidential information. - Detail-oriented with a high level of accuracy. - Familiarity with Project Management tools such as Microsoft Project and PrimaVera is a plus.   Attributes: - Proactive, self-motivated, and able to work independently. - Strong time-management skills with the ability to effectively prioritise tasks. - Ability to work in a collaborative team environment.
