We are currently seeking top talent for a fantastic Executive Administrative Assistant job opening in Toronto, ON - this is in-office role is located near Lakeshore and Carlaw. In this full-time temporary opportunity you will be covering for a maternity leave and you will be responsible for providing a variety of administrative support tasks for a small but busy office/showroom. As the Executive Administrative Assistant, you will use your skills and experience while multi-tasking and prioritizing the work and needs at hand, taking initiative where possible. The responsibilities of the Executive Administrative Assistant job opening in Toronto, ON may include but are not limited to:

  • Provide calendar management with emphasis on proactive planning, scheduling/rescheduling internal and external meetings including organizing logistics, agendas etc.
  • Coordinate virtual and in-person meetings ensuring all parties accept/confirm; follow up
  • Screen and prioritize emails; responding on behalf of the Executive where needed
  • Draft and prepare correspondence, documents, reports; presentation creation when required
  • Conduct research and provide reports on such information; using various forms technology most effectively
  • Communicating with clients/employees on behalf of the Executive team
  • Manage expenses and process expense reports with accuracy in a timely manner
  • Assist other team members as requested
  • Perform various administrative support functions for a virtual workplace such as mail, couriers, supply/equipment ordering, liaising with various internal and external stakeholders and more.


Some of the skills and qualifications for this Executive Administrative Assistant job opening in Toronto, ON include;

  • Demonstrated Senior Administrative Assistant or Executive Assistant or Secretary with preferably 3-5+ years directly related career experience
  • Advanced Microsoft Office skills – Word, Excel, PowerPoint, Outlook; well versed with various technology
  • Exceptional verbal and written communication skills; comfort working in a more relaxed communicative setting (showroom/retail setting)
  • Flexible to various tasks and positive attitude, available for overtime when needed; flexibility is key!
  • A self-motivated, forward thinking worker with drive and initiative to support the President and team, offering help where you can
  • Ability and confidence to deal with highly confidential information while handling various responsibilities and tasks
