The McCann Worldgroup Office Administrator helps ensure the efficient and effective management of the Toronto office space. As the first point of contact for staff and guests, the Office Administrator demonstrates high energy, outstanding client service, strong communication skills and an enthusiasm to work with a variety of people that supports a positive agency culture. Reporting to the Office Manager, responsibilities range from fulfilling administrative tasks for members of the leadership team, maintaining a clean and inviting office space and participation in various internal events.


RESPONSIBILITIES:

  • Welcome employees, clients and guests, offering them a safe and comfortable space upon arrival.
  • Support day-to-day activities including booking meeting rooms, confirming space availabilities and quickly resolving/escalating space conflicts, prepping rooms with supplies, documents and refreshments, as required.
  • Play a primary role in the efficient day-to-day operation of the Toronto office.
  • Maintaining a clean, organized office space including open spaces and meeting rooms (ie. removal of dishes/garbage from meeting rooms, etc).
  • Managing courier services including sending and receiving of packages and internal distribution.
  • Ensuring the kitchen is clean, dishwashers turned on or emptied as needed and beverage supplies are stocked on a daily basis.
  • Assisting with catering/coordination of client/team functions as required.
  • Contacting building maintenance to address cleaning concerns, temperature requests, etc., as needed.
  • Liaising with Office Manager to support site visits, space improvements, flag repairs, etc.
  • Develop professional partnerships with the HR and IT teams to support the new employee onboarding process (fulltime & temporary), internal meetings/events, office relocations and/or construction.
  • Support leadership team with calendar, travel and expense management, as required.
  • Create purchase orders as required.
  • Contribute to a positive office culture by proposing inclusive ideas and initiatives that support engaged agency teams.
  • Support a safe working environment by being an active member of the Joint Health and Safety Committee and being informed with respect to legislative requirements that impact facility management and Health and Safety issues.
  • Troubleshoot and respond to requests and concerns and/or escalate in a timely manner.
  • Champion the Office Operations team and the organization.
  • Provide back-up support for team members when necessary.
  • Any other project work, as assigned.


QUALIFICATIONS:

  • Ability to work well independently and be proactive with tasks.
  • Attention to detail.
  • Superior communication and interpersonal skills.
  • Superior organizational skills and the ability to multitask.
  • Strong knowledge of excel and windows based software programs.
  • Experience working in a similar role.
  • Knowledge of agency process an asset.
  • Strong knowledge of Excel and MS Office Suite.
  • This role is fully onsite, required to be in the office during business hours.
