Did you know that on average, people get distracted every 7 minutes? ⏳ Distractions drain your time and energy. The key to productivity is creating more focused time in your workday to achieve a state of flow. In a recent Agency Hackers webinar, Harv Nagra shared three practical tips to boost productivity: 📅 Plan ahead: Schedule your tasks the day before, prioritizing key projects to avoid procrastination. 🔕 Minimize interruptions: Use ‘Do Not Disturb’ on both your computer and phone (yes, even Slack!) Get into the habit of checking emails and messages only at specific times. 📋 Optimize meetings: Set a policy for organizers to prepare agendas, ensuring meetings stay on track. Consider asynchronous updates, where participants share progress in a document by a deadline. You can also introduce a regular meeting-free day to allow for deep work and uninterrupted focus. Here's a game-changing strategy to consider - setting up pods. Trenton Moss joined Harv Nagra on the latest episode of The Handbook: The Agency Operations Podcast. Trenton shared his success story of creating pods within his agency. Trenton's two main goals with pods - raise the commercial awareness of the delivery team, and motivate everyone to contribute to the business’ success. 🚀 This was achieved with pods by: 1️⃣ Shifting the focus - Delivery people shifted from focusing 100% on delivery, to dedicating 5% of their time to commercials like client relations and profitability. 2️⃣ Setting Clear Goals - Pods had clear targets around revenue, client satisfaction, team happiness, and supporting marketing efforts. 3️⃣ Transparency - Sharing revenue targets, billable hours, and day rates helped everyone understand their impact on overall goals. The result? An empowered team and a boost in profits. 🤑 Listen to this inspiring episode on Apple, Spotify, or any other podcast platform. 🎧 The Handbook: The Agency Operations Podcast 🎧

Are you overlooking opportunities for higher profits? 💰 Project management KPIs are key for keeping your projects on track, helping you deliver on time and within budget. Take your delivery margin KPI, for example - it highlights which projects are profitable and which ones might be draining resources. This allows you to identify what’s working, what’s not, and where adjustments are needed. In Scoro, you can easily see the delivery margin for each project, as shown below. So you can see which projects are helping (or hurting) your bottom line. We recommend tracking 9 key project management KPIs. To learn more about each one and how to measure them, check out the article linked in the comments below. 👇

Does your agency's IT infrastructure prepare you for growth? 🚀 On the latest podcast episode, Dan Timmiss from Kaizen IT Solutions Ltd shared his advice to help agencies stay secure while scaling: 👩💻 MDM (mobile device management) solutions - help streamline device management and simplify onboarding and offboarding. ⚠️ XDR (extended detection and response) - is better than traditional antivirus at finding unusual activity on your systems. 🔒 Security accreditations - help ensure you’re safe, and can help win business with global brands. Consider Cyber Essentials Plus, CIS Benchmarks or ISO 27001. 🔑 Accurate cost estimates are the key to project profitability. Projects that aren’t scoped accurately often run over budget. Turning potential profit into a loss. When you include all labor, expenses, and time for each phase in your quotes - you avoid budget overruns and protect your margins. 💡 Break down each project phase, include all costs (like client services and admin work), and compare actual vs. quoted costs. The more precise your estimates, the healthier your bottom line. 💪🤑 Follow the link in comments to get more tips on how to improve your project profitability. 👇

Phishing is the most common type of security breach. ⚠️ Dan Timmiss from Kaizen IT Solutions Ltd has seen plenty of examples. One agency he worked with was tricked into paying around £80,000. The agency was emailed by a company they worked with saying the bank details for their next payment had changed. The agency paid the invoice, not realizing they weren’t actually emailing the company. Instead, it was a hacker who'd broken into the company's email. Phishing scams like this are getting harder to spot. 🧐 Dan suggests team-wide training to protect your agency - Google even offers a free course. Dan also recommends including security training during onboarding. 🔐 For more IT tips from Dan, check out the latest episode of The Handbook: The Agency Operations Podcast on Apple, Spotify, or wherever you listen to podcasts. 🎧
