How do you calculate the total cost of ownership (TCO) of your print fleet?

A TCO is the total cost of ownership. In the managed print world this would relate to the true cost of running your print estate. For example - you would have to consider things like rental costs or cap ex write down costs, the amount of printing you are doing calculated with the print costs for colour and mono (if toner is inclusive). There may be other costs to consider such as annual support fees for print management software, paper costs or staples also. When you add these all up you will be able to calculate your annual TCO.

The supplier takes time to understand your current challenges and future aspirations. 2. They have a proven track record and are willing to provide reference sites. 3. Willing to share contract details and where required are flexible to make changes to the contracts. 4. Offering a master agreement to enable you to add equipment to the original contract throughout the term.

There are a lot of suppliers. A few tips to recognize the best in class MPS suppliers: - The supplier can carry out the entire MPS process of assessment, design, implementation, management and optimization? - The supplier is able to manage hardware and software? - They have a proven trackrecord and reference sites. - They have certificates / awards from independent / 3rd party organizations. - They are willing to share contract and service level agreements. - They are willing to share current service level achievements. - If you've multiple international locations it's essential that the supplier can manage these locations without 3rd party local vendors / finance partners.

The best suppliers focus on improvements during the MPS contract. They offer consultancy services and insights how for example you can reduce printvolumes and improve productivity by digitize current processes.

Consider selecting a provider you can build a long term partnership with rather than a supplier you are going to switch from at the end of the contract for a cheaper price. When selecting a supplier consider your choice based on service offering, adaptability / flexibility and trust. By doing this you will work in a partnership with your supplier and always receive the best ongoing advice to ensure you have the optimum solution at a price that works for both parties. A supplier who proactively demonstrates options and flexibility in their contract is also a big win for the client.
