What do you do if your construction project costs are inaccurate?

Independiente a la retroalimentación que se reciba del área que entrega la informacion del proyecto o de los costos, específicamente, el PM y el equipo deben revisar y evaluar las estimaciones y asignaciones de costo. Las filosofias de otras áreas diferentes de las responsables de la ejecución de proyectos, en muchos casos es sustentarse en estimaciones, en algunos casos generando holguras positivas y en otros brechas significativas. Entendiendo lo anterior, la evaluacion del impacto que se debe hacer debe ser holistico a todo el proyecto, pues es posible que existan compensaciones que cubran total o parcialmente el déficit. Lo anterior será un riesgo moderado que se deberá monitorear durante el desarrollo del proyecto.

Lo clave aquí no es buscar un culpable, pero si identificar al responsable con el afán de retroalimentar y corregir los activos que se registran y archivaran en la organización. En construcción, algunas especificaciones o requerimientos del cliente, están más o menos detalladas que otras, esto puede terminar siendo una potencial ventaja o desacierto en las estimaciones que se realicen. Comprendiendo el origen y las causas de la desviación de costos, podemos explotar opciones de reclamos o revisiones, según los espacios contractuales o cuando menos, podemos realizar estrategias de acción a ser revisadas con él sponsor y el cliente.

We should start with Identifying the cause of the error: First, we need to figure out why the cost is wrong. Common culprits include inaccurate material quotes, underestimating labor costs, or neglecting permits and inspections. Review the contract: See what your contract says about cost overruns. There may be clauses outlining how cost changes are handled. Communicate with stakeholders: Talk to everyone involved in the project, including the contractor, architect, and any subcontractors. In my experience, We will take feedback into consideration and conduct a thorough review of our original estimates, quotes from suppliers, and time projections for labor. Our goal is to identify any discrepancies or assumptions that may have contributed to the error, without assigning blame. By understanding what went wrong, we can make informed decisions on how to correct the issue and implement measures to prevent similar occurrences moving forward. 1.) If you are the one that bided the job. Definitely self study why the mistake happened. Often I find that I’m busy, consumed, not focused, and just ask around being pulled to many directions. If this is the case you should always take notice, when you are busy, and step back, go home, take a good night sleep, and check it another day. If you are two busy, have someone else review. 2.) if your employee did the bid. It is now that time for mentoring. Use the loss as an opportunity to show them their mistake. Stay calm, speak soft, but firm and focused. Shine light on the situation. Then show them what you would have done differently. After that, it is time to create a guide to follow, before bid is allowed to be summited.

As they say "back to the drawing board". Human beings make errors. As soon as the estimate inaccuracies are discovered, be diligent to revise the estimate and provide the correct information to the team. All stakeholders should promptly be made aware of the impact to the budget and schedule. Make adjustments for this discovery and move forward with a solution.

I would first review the data that is used for project implementation planning and assess the gaps/ deviations. The next would assess the impact of the deviations leading to cost over runs. Subsequently prepare plan to control the cost by managing deviations so that cost over run is managed. Once plan is in place, the strategy will be communicated to all concerned and lastly changes will be monitored regularly.

At this point, if you face inaccurate estimates. Then you find it was not because the bud was not correct. You actually find it was correct, but later learned that sub price and materials have gone up. Then think that there is nothing you can do. Think again. "Comunicar con los filtros y formas necesarias" es atender las necesidades de comunicación de los interesados que determinarán una decisión relevante en el proyecto. La teoría y la práctica coinciden en que es mejor comunicar que ocultar estas desviaciones, el proceso es complejo, pues habrá que explorar diferentes intereses y ciertos requerimientos de comunicación; sin embargo, la comunicación debe ser oportuna y con los hechos concretos, sin distorsionar o adecuar los hechos. En construcción, es común esta y otras desviaciones, incluso en diferentes etapas del proyecto. Por lo tanto esta comunicación es parte de las acciones de mitigar y contener el riesgo.

Este paso será mejor explotado desde una PMO o la gobernanza de la organización, pues el efecto es transversal a diferentes etapas del proyecto e incluso transversal a diferentes áreas de una organización. Su desatención atenta pilares importantes como satisfacción al cliente, salud financiera y clima laboral. Por todo lo anterior, el control de estos eventos debe partir desde los pasos necesarios para impulsar las revisiones y recopilar los resultados, para su posterior análisis, retroalimentación y actualización de activos afectados. Es cierto que la revisión y actualización es constante, pero es eficiente hacerlo oportunamente y de la manera correcta, una PMO sumará bastante en ello.

In countries with increasing inflation like my country , Iran, even the most accurate estimation could be wrong! And this can affect project financially. So the best solution to decrease this inaccuracy is to finish project as soon as possible. Im sure that using BIM can help project to finish ontime and accurate.

It's important to create a check-in schedule that balances checking in enough to keep your project on track while giving your team the freedom to work without giving you constant reports. Once we determined the best check-in schedule for our project, be sure to let our project team know when check-ins are scheduled to take place. during each check-in, compare your team members' progress to your key performance indicators and record data on your project to track its progress.

Honesty is the key to all success. Being straight up, staying humble, and showing compassion will take anyone a long ways. Excepting your mistakes are always the key to becoming better. Remember when you see someone who just knows everything and does everything right and you wonder why you can't. Maybe you should consider, that they may have just had more mistakes under their belts than you. Sometimes there is just no excuse, and its just is what it is, and the only thing left is to just take that mistake as it is, and move on.
