Why Your Tech Stack May Be Slowing You Down More tools don’t always mean more productivity. In fact, I’ve spent my career working with organizations across industries, helping them address one of the most overlooked challenges in modern business: a bloated and disconnected tech stack. Here’s what I’ve seen time and time again: While businesses often invest in tools with the best of intentions, the result can be an overwhelming collection of platforms that don’t integrate, don’t align with workflows, and don’t drive results. The reality is that a poorly managed tech stack can do more harm than good. Here’s the problem: 1️⃣ Too many tools create silos. A recent survey by Asana found that employees switch between apps 25 times per day on average. This constant task-switching wastes valuable time and creates communication gaps. 2️⃣ Overlapping features lead to confusion. Teams often struggle to determine which tool to use for specific tasks, leading to inefficiencies and duplicate work. Gartner estimates that businesses waste $40 billion annually on software that is underutilized or redundant. 3️⃣ Lack of integration stifles collaboration. When tools don’t “talk” to each other, teams spend hours manually transferring data, which not only slows progress but increases the risk of errors. Research by McKinsey shows that companies with poor data integration see a 30% decrease in productivity. The result? A bloated tech stack shifts focus away from meaningful work. Instead of solving problems, teams get caught in busy work: searching for data, navigating disconnected systems, and duplicating efforts. The Balance Between Automation and Human Ingenuity: Finding the Sweet Spot In the age of AI and automation, here’s a question worth asking: How much is too much? At SmartSuite, we’ve had the privilege of working with thousands of teams as they design workflows that blend the best of both worlds—harnessing the power of automation while preserving the human creativity and connection that drive innovation. Automation can be a game-changer. It supercharges efficiency, eliminates repetitive tasks, and creates space for teams to focus on solving complex problems. However, automation must be implemented thoughtfully. When overused or misapplied, it can lead to a disconnect between teams, stifle creative thinking, and even reduce engagement. The key from my perspective? Striking the right balance between automation and human ingenuity. The best workflows amplify human potential rather than replacing it. Here are some examples we see in action with SmartSuite and AI-powered tools: Automate data collection and categorization: Use tools like Zapier, Make and Relay.app to feed data into SmartSuite seamlessly, but ensure humans interpret the insights to inform strategic decisions. - Streamline task assignments and reminders: Leverage automation for scheduling and notifications, but reserve personal check-ins for meaningful relationship-building. - Enhance decision-making with AI: Use integrations with AI tools like ChatGPT or OpenAI to draft content, generate ideas, or analyze trends, while humans add the final layer of creativity and judgment. - Optimize routine approvals: Automate the standard ones, but involve people when decisions require nuanced understanding. What’s clear from my experience at SmartSuite is that automation isn’t a substitute for human ingenuity—it’s a partner to it.
