Wage Range - $18.23 per hour

Schedule

  • 8-hour shift
  • Day Shift
  • Monday to Friday

Experience

  • High School or equivalent. Preference will be given to those with higher education.
  • Two years’ experience working in a business office.

Essential Job Functions

The Administrative Assistant performs a variety of entry level office support work.

  • In charge of answering the phone and front door promptly and courteously.
  • Greet visitors, ascertain the nature of the visit, and have them sign in.
  • Performs general office duties such as typing, copying, and filling as required.
  • Enters attendance in ChildPlus for all EHS/HS classrooms.
  • Maintains child files and emergency contact book.
  • Finance duties include checking the ProCare system daily, making corrections in ProCare attendance, acquiring parent signatures, maintaining a CCAP swipe log, and forwarding appropriate forms to the Finance office.
  • Compares daily attendance with meal counts and making corrections in ProCare.
  • Support for family partnership programs to include family nights, parent center meetings, parent communications, special events, and completion and typing of monthly newsletters.
  • Complies with monthly reports.
  • Checks in meals and distributes to classrooms.
  • Maintains a clean and orderly office environment and general areas of the facility.
  • Maintains and changes out lobby bulletin boards.
  • Complies with applicable universal precautions and infection control guidelines and procedures.
  • Effective interpersonal skills and demonstrated ability to work with minimal supervision.
  • Excellent verbal and written communication skills.
  • Professional demeanor in behavior and dress.

Human Relations And Communication

Communicate with appropriate staff (within all departments and community) to meet the needs of the center, children, families, and host schools.

Share all information with co-workers and supervisors as appropriate and communicate openly and honestly. Use discretion and maintain confidentiality with matters of children, families, staff and program as appropriate.

Successful Candidates

  • Must possess a basic knowledge of secretarial and financial duties to include phone etiquette, typing skills 50 wpm preferred, use of adding machines/calculators, use of all office machines.
  • Must be comfortable utilizing computers and technology and be willing to learn new computer skills and software programs as necessary.
  • Must possess strong phone and people skills.
  • Will have knowledge and will be skilled in the use of computers software programs such as Microsoft Office, Outlook, Excel, and other software programs.
  • Will have the ability to demonstrate the following qualities: Self-motivated, self-directed, able to make good judgement, creative, reliable, and dependable.

This position requires the ability to stand, sit, stoop, walk, climb, bend, and exert 20 to 40 pounds of force occasionally, and/or 10 to 25 pounds of force frequently.
