Summary

The Assistant Director of Prospect Management is a key member of the Development Operations team, with the primary responsibility of managing prospect records to support major gifts fundraising. This position is responsible for tracking prospect interactions, entering and managing data related to development officer portfolios, maintenance of suspect pool, and facilitates special projects related to portfolio management. This position utilizes data from a variety of sources to enhance the office’s prospect portfolio primarily used by the prospect research team and development officers. The position reports to the Director of Prospect Management and is responsible for supporting effective record management and prospect tracking processes as well as enforcing policies and procedures to assure data quality and integrity of records. The individual who holds this position exemplifies the Rush mission, vision and values and acts in accordance with Rush policies and procedures.

Required Job Qualifications:

  • Bachelor’s Degree.
  • Two years of experience in fundraising, prospect research or related experience maintaining records within a donor management database system such as Ellucian Advance or Raiser’s Edge
  • High level of attention to detail and commitment to quality
  • Able to identify gaps in processes and procedures to resolve issues as needed
  • Ability to manage projects with minimal daily supervision
  • Excellent interpersonal skills, including the ability to effectively communicate in written and oral form with both technical staff and non-technical users
  • Ability to explain the rationale for record management policies and procedures
  • Intermediate to advanced proficiency with Microsoft applications (Excel, Word, PowerPoint)

Preferred Job Qualifications

  • Experience with Ellucian CRM Advance or AdvanceWeb and/or MS Access.
  • Understanding of the donor moves management cycle.

Responsibilities

  • Reviews and completes record maintenance tasks submitted daily through prospect management’s request system.
  • Completes scheduled audits and reviews of prospect and proposal records.
  • Prepares data files and manages data processing tasks to support prospect identification and pipeline activity. Includes preparing and managing data files for wealth screening and prospecting projects.
  • Coordinates and prepares materials for portfolio review sessions which requires querying, exporting, and organizing data from the CRM and other reporting systems.
  • Oversees and facilitates prospect assignments through proactive review of prospect identification sources (i.e. event participants, recent donors, patient encounters).
  • Oversees the completion of mass update projects and other special projects as assigned.
  • Other duties as assigned.
