Base pay range

$45,000.00/yr - $67,000.00/yr

Job Description:

The Assistant Project Manager (“APM”) is responsible for assisting the Director of the HOA| DRE Association (“HDA”) Division in project related matters, including (but not limited to) the coordination of various activities of a project to ensure deliverables, schedule, document tracking / control and quality standards are met. Additionally, the APM will coordinate and manage the flow of various documents such as submittals, request for information (RFIs), proposals, and other documents. Under the direction of the Division Director, the APM is expected to take on any / all tasks in the quest to learn all he/she can about the services the HDA Division provides. The APM reports directly to the Director of the HDA Division.


Responsibilities:

•Maintains safe, secure, and healthy work environment by following and enforcing company standards and procedures.

•Responsible for assisting Division Director on day-to-day tasks

•Assist in all phases and aspects of a project involving the division.

•Have general knowledge of DRE (Department of Real Estate)| HOA (Homeowners Associations | Association Governing Documents

•Contact clients, agencies, and / or consultants (as needed) in order to obtain / distribute pertinent information / documents associated with the following project areas:

-DRE Budget development services and DRE Document Management/ Processing Services

-HOA and Commercial Association Governing Document review/consulting

-Community Amenity Consulting

-Bid services for Management, Insurance, Legal and other services as required

-Declarant Board Service

-Phase Turnover Walks

-Reserve Study support

-Project Management Services for HOA’s – primarily infrastructure components, large recreational amenities.

•Support / administer projects in a manner which enhances the reputation of the company, develop future “work opportunities” through existing relationships with clients, and increases prospects for future work.

•Serves as a “support” resource to the Director to attend HOA Phase Turnover Walks and / or Association Board Meetings.

•Reviewing of various contract documents pertaining to the HOA/Associations and having a basic understanding of general terms & conditions of such.

•Assist in the obtaining, organization and administering of associated checklist(s) of project documentation.

•Ability to review drawings and specifications to become familiar with the project and identify phasing as well as associated components.

•Perform common area takeoffs utilizing software and training provided by company.

•Assist in marketing and business development activities for the division and Company.

•Participate in educational opportunities (i.e. Industry Seminars); reading professional publications; maintaining personal networks; participating in professional organizations (i.e. Building Industry Association, Community Associations Institute, Urban Land Institute, etc).

•Identifying discrepancies and implementing corrective actions (along with the Division Director)


Qualifications & Requirements:

•Preferred higher education (4-year degree) or equivalent combination of experience.

•Experience with developing and existing Associations and Master Planned Communities

•Knowledge and understanding of the DRE and Development industry as well as the HOA / Association Industry

•Ability to read project plans (i.e. Site and Landscape)

•Independent | self-motivated | team player | organized | innovative thinker

•Able to effectively communicate with Client representatives, vendors, all levels of staff and management.

•Competent in:

-Microsoft Excel,

-Word,

-Project and

-PowerPoint

•Multi-tasker

•Valid California driver’s license and vehicle insurance
