Team Overview

The Business Operations team serves as the backbone, orchestrating the intricate mechanisms that drive our business forward. Position Overview

We are looking for a highly skilled and motivated Associate Director to join our dynamic Business Operations team, to fill a gap in skillset we are looking to include. The successful candidate will play a pivotal role in interfacing with senior leadership across the organization to drive operational excellence in a wide variety of business planning and operations functions, financial and vendor management, communications and engagement, and daily operations.

The Associate Director, Business Operations will support a portfolio of key focus areas within the company’s evolving generative artificial intelligence business including business analysis, conceptualization, and rollout/engagement of custom and third-party solutions in the space that provide enhanced outcomes for our clients. This role, collaborating with the Senior Director, Business Operations team, and others will drive information across the workstreams to better empower leadership and the teams progressing forward in the build of gen-ai assets for agency and client teams. Focus will be placed on ensuring roles are defined within workstreams, that strategies are understood, and that there is not a duplication of efforts within the organization.

Key Responsibilities

  • Lead project management efforts to ensure the successful execution of product development status tracking, and new launches across the organization’s portfolio of clients.
  • Drive best practices within Project Management platforms, status updates, workflow management, and other related operational effectiveness.
  • Become a Subject Matter Expert (SME) on the key workstreams deep into the composition and evolution of generative ai capabilities across the Annalect business.
  • Provide regular updates and reports to senior leadership on project status, key milestones, and performance metrics.
  • Capture, manipulate, analyze, and utilize data from multiple systems to create effective management reporting and trend analysis.
  • Streamline existing processes and recommend process improvements across value chain, with emphasize on cost/benefit, quality, and speed. Automate existing workflows and reporting mechanisms to improve overall efficiency.
  • Partner and collaborate with cross-organizational teams such as Product, Marketing Science, Technology/Engineering, Finance, Human Resources, Annalect Consulting and other parts of the organization to help deliver on various objectives including fiscal year annual operating planning and various strategic initiatives. Develop and maintain strong relationships with internal stakeholders and external partners to foster collaboration and drive results.
  • Manage third party relationships with vendors.
  • Possess the ability to present viable solutions with analytical and problem-solving skills. The obvious is not acceptable to you and you strive to understand what the needs are beyond that.
  • You have expertise managing workflow and resources as part of an offshore/distributed workforce model.
  • Demonstrated understanding of process improvement programs and processes, with experience driving them successfully within technology organizations highly preferred. Some background in “operational excellence” and/or Six Sigma helpful.
  • High level of adaptability and flexibility, with a demonstrated ability to thrive in a team-based environment that is fast-paced, rapidly changing, and service-oriented.
  • Organized and detail oriented: Must be able to manage to deadlines and prioritize daily, weekly, and monthly tasks. Track and keep team’s velocity high while balancing new engagements.
  • Outstanding written communication, analytical and problem-solving skills. Highly skilled in the creation of presentations, new reporting mechanisms and other documents.

Required Skills And Qualifications

  • Bachelor’s degree in business administration or related field; MBA or advanced degree preferred.
  • Proven experience in project management, preferably in a technology-driven environment.
  • 7+ years’ experience managing multiple projects delivering value to internal customers to maximize their workflow productivity levels.
  • Business Analysis, Workflow Designs, Business Process Engineering, or Project Management skills
  • Intellectually curious and ability to ask the right questions to solve a business problem even when the problem is not explicitly stated.
  • Effective communication and leadership skills, with the ability to influence and collaborate effectively across all levels of the organization.
  • Demonstrated ability to drive results and manage multiple projects simultaneously in a fast-paced environment.
  • Experience with Agile framework and methodology, understanding of the software development process.
  • Experience in artificial intelligence or related technologies is highly desirable.
  • Exceptional critical thinking skills and mindfulness.
  • PMP or other relevant certifications are a highly recommended.
  • Proficiency in Microsoft Office Suite (Visio, Excel, PowerPoint, Outlook, and Word), O365 experience a plus.
  • Experience with Microsoft D365 and/or Adobe Workfront a plus.

This is the pay range the Company believes it will pay for this position at the time of this posting. Consistent with applicable law, compensation will be determined based on relevant experience, other job-related qualifications/skills, and geographic location (to account for comparative cost of living). The Company reserves the right to modify this pay range at any time. For this role, benefits include: health insurance, vision insurance, dental insurance, 401(k), Healthcare Flexible Spending Account, Dependent Care Flexible Spending Account, vacation days, sick days, personal days, paid parental leave, paid medical leave, and STD/LTD insurance benefits.

Compensation Range

$102,000—$150,000 USD
