Hybrid Remote/In-Person Full-Time (40 hours per week) Position in Castro Valley, CA (Exempt)

Reports To: Associate Executive Director

Who We Are

Ruby’s Place (RP) is an innovative nonprofit committed to ending domestic violence, human trafficking, and violent crime through hope, advocacy and connection. Our services include emergency shelter, transitional housing, rental subsidies, mental health services, and wrap around services. All our services are trauma-sensitive and client-centered and are provided at no cost to our clients. There are no barriers to participate in our programs.

What qualifications are required for this position?

You Are Also:

  • Very strong in nonprofit accounting, reporting, financial analysis and contract management (government and nongovernment).
  • Able to work effectively with the leadership team, staff and managers throughout the agency, understanding and responding to program needs.
  • Proven track record in a senior financial leadership role with experience in managing finance teams.
  • Experienced in the financial implementation of the application of local, state and federal employment laws.
  • Strong in computer literacy; experience with QB is a plus.
  • Experienced working with a diverse workforce.
  • Ability to adapt to changing circumstances and work effectively in a dynamic mission driven environment.
  • Holding a master’s degree in accounting or business administration, or equivalent business experience and 10+ years of progressively responsible experience for a nonprofit or division of a large corporation. Preference will be given to candidates with an MBA in Finance and/or CPA licensure
  • Experience in partnering with an executive team, and have high written and oral communication skills.

What You Will Do

The anticipated start date for this position is immediate. You will report to the Associate Executive Director. This position is a hands-on position overseeing the financial aspects of Ruby’s Place. In this role, you will be accountable for the administrative, financial, and risk management operations of the agency, including the development of a financial strategy, metrics tied to that strategy, and the ongoing development and monitoring of control systems designed to preserve agency assets and report accurate financial results. You will respond to and manage multiple annual fiscal audits and program-related audits. In addition, you will manage the work of the finance staff, who will perform basic accounting functions such as AP, AR, cash flow, budgeting, grant invoicing, bank reconciliations, etc. You will establish and monitor systems for managing over 30 contracts and grants, including allocation of operating and personnel expenses, invoicing, revenue recognition, and fiscal grant reporting. You will collaborate with program directors and their staff to exercise strong fiscal management and support them around their fiscal needs. Working with the ED and AED, you will assist in strategic and fiscal decision-making. You will supervise the current finance team and actively participate as a member of the RP Executive Leadership Team.

Responsibilities Include

  • The CFO supervises the team that carries out RP finance, accounting, auditing, budgeting, contracts, government invoicing, and operations management functions. RP has over 100 employees and operates on a $15 million annual budget.

Principal Accountabilities:

  • Assist in formulating the company’s future direction and supporting initiatives
  • Monitor and direct the implementation of strategic business plans
  • Manage the capital requests and budgeting processes
  • Develop performance measures that support the company’s strategic direction

Operations

  • Participate in key decisions as a member of the Executive Leadership Team
  • Maintain in-depth relations with all members of the leadership team
  • Oversee the management of the accounting, auditing, grant reimbursement, and tax processes
  • Manage any third parties to which accounting or finance functions have been outsourced
  • Oversee and maximize the company’s financial systems
  • Implement operational best practices
  • Act as an Ambassador for Ruby's Place in all interactions with staff, clients, partners, and the community. Possess a full understanding of all RP services and confidently communicate internally and externally high-level messaging.
  • Participate in continuous growth and development that aligns with your role's responsibilities and the agency's strategic plan.
  • Actively participate in reflective supervision
  • Fill out functional timesheet by assigned due dates and in compliance with the time allocations

Financial Information

  • Oversee the issuance of financial information and maintain sound fiscal operations of the agency
  • Manage the annual single audit, including reviewing and approving all Form 990’s, Independent Auditor’s Reports, and Financials as outcomes of the annual audit
  • Report financial results to the board of directors in a meaningful and purposeful format
  • Assist in preparation of grant proposals providing financial information and budget.
  • Manage private donations and be able to identify restricted or unrestricted funding

Risk Management

  • Understand and mitigate key elements of the company’s risk profile
  • Monitor all open legal issues involving the company, and legal issues affecting the industry
  • Construct and monitor reliable control systems
  • Maintain appropriate insurance coverage and identify needs for new coverage.
  • Ensure that the agency complies with all legal and regulatory requirements
  • Ensure that record keeping meets the requirements of auditors and government agencies
  • Report risk issues to the audit committee of the board of directors
  • Maintain relations with external auditors and investigate their findings and recommendations

Funding

  • Monitor cash balances and cash forecasts
  • Arrange for debt and equity financing
  • Maintain banking relationship
  • Complete functional timesheets by assigned due dates in compliance with time allocations.
  • Create and maintain documentation of processes and procedures related to job duties.
  • Perform other duties as assigned.

Working Conditions

This position is eligible for hybrid in person & remote work. Time spent on-site versus remote working will be discussed and agreed upon with your supervisor. You are expected to be available on-site as necessary given business needs. You must be able to stand for long periods of time and perform physical activities, including lifting up to 25 pounds. You will be subject to frequent interruptions and must be able to multitask and handle stress.

Local travel in the greater Bay Area may be required.

The pay scale for the Chief Financial Officer (CFO) is $165,000-$182,000 per year. The benefits that come with working at Ruby’s Place at full-time hours include medical, dental, and vision plans, a life insurance policy, significant vacation, sick time, sabbatical, and immediate vesting in our 403(b) with a generous match. This is a full-time, salaried position. This is a hybrid position (flex work), 40 hours per week, with some days required in our Castro Valley Office.
