Position: Coordinator, Events - Full Time/Non-Exempt

Reports to: Director of Events (Non-State Farm Stadium (SFS))

Background: Insignia Event Services (IES) is a business unit affiliated with the Arizona Cardinals, tasked with producing events at State Farm Stadium including all Arizona Cardinals games. In addition to Arizona Cardinals games, Insignia Event Services exclusively manages Sportsman's Park (SP). Sportsman's Park has been a site for pre-game festivities, tailgating, concerts, festivals, weddings, graduations, corporate events, and other related experiences. The three pillars of Insignia's current revenue are events at Sportsman's Park, parking operations for the lots around SFS, and creative production of events (i.e., the production team for the Cardinals' home games work for Insignia Events).

Job Summary: Under the direct supervision of the Director of Events (Non-SFS), the events coordinator will support all aspects of the Events Department. This position is responsible for the detailed coordination between all departments within Insignia Event Services and the clients. The ideal candidate has a customer-focused attitude and is passionate about producing exceptional events.

Primary Job Duties

  • Reaches out to potential clients and gathers information about the client's event objectives, budgets, and preferences.
  • Oversee event planning logistics including set-up, execution, and clean-up.
  • Handles problems that arise to help the event go smoothly.
  • Assists in creating budgets, financial reports and planning documents and ensures adherence to plans.
  • Attends staffing and pre-event meetings.
  • Establishes and maintains relationships with vendors.
  • Creates email communications to vendors, internal departments, and clients.
  • Ensures compliance with proper safety, health, legal and insurance standards.
  • Other duties as assigned.

Qualifications/Requirements

  • At least one year of experience in event coordination
  • Collaborative and team oriented.
  • Possess skills in logistics and planning.
  • Accuracy and attention to detail required.
  • Strong oral and written communication skills.
  • Computer skills for use with event or project management software, creating emails, spreadsheets, presentations, or

mapping layouts.

  • Basic accounting skills to track spending and budget adherence.
  • Must have a driver's license.
  • Must be able to stand and walk for long periods of time.
  • Must be able to work indoors and outdoors with possible extreme weather conditions.
  • Must be able to lift 35lbs.
  • Flexibility with work varying schedules including evenings, holidays, and weekends.
  • Ability to perform efficiently under tight deadlines.
  • Ability to work independently or in a team environment.
