Kimley-Horn has an exciting opportunity for an experienced administrative professional in our Downtown Raleigh office. This is an in-office opportunity.
We are seeking a proactive, detail-oriented professional to support our regional team with various administrative tasks. Ultimately, you’ll help us as a key partner to the Carolinas Regional Team to keep our region running smoothly and efficiently. You will be part of a firmwide team of Regional Administrative Assistants who partner closely to support our firm’s leadership. If you have experience supporting busy professionals and you’re an excellent organizer and communicator, we’d like to meet you.
- Provide administrative support to several members of the regional leadership team including travel, expense, calendar management, document preparation, and outgoing communications
- Partner with Regional Leader to develop and implement the regional schedule of meetings, events, and activities
- Plan and coordinate regional trainings, meetings, and events
- Maintenance of conference, production, and supply rooms
- Mail distribution; FedEx distribution (outgoing and incoming)
- Ordering meals for meetings
- Directing and processing regional invoices
- Filing and archiving
- Effectively partner with other administrative staff and senior leaders
- Travel occasionally as needed (5%-10%) to help with meetings, events, and trainings. This typically will not be more than a couple days at a time.
- High school diploma or equivalent and 9+ years of administrative or executive assistant experience
- Experience in a corporate environment preferred
- Outstanding organizational skills a must
- Strong communication skills in writing, editing, and proofreading
- Able to manage and balance multiple tasks and priorities
- Great attention to detail required
- Proficiency with MS Office including Microsoft Word, Excel, PowerPoint, and Outlook
- Experience with Concur is a plus (not required)
- Prior supervisory experience preferred
- Ability to work independently and as part of a team
- Problem-solving ability
