As an Executive Assistant in Project Management, you will support the President and other senior executives. Your main duties will involve ensuring projects run smoothly, coordinating tasks, and facilitating communication. Daily tasks will vary but focus on keeping executives informed, organized, and prepared. This role offers a chance to learn about the business and enhance company efficiency. Ideal candidates will have integrity, strong organizational and communication skills, and a professional demeanor.

Responsibilities:

  • Organize and Prepare: Efficiently manage quarterly board meetings, create presentation materials, and handle catering logistics.
  • Executive Support: Assist the President with phone calls, travel arrangements, meeting scheduling, and contract management.
  • Confidentiality: Safeguard sensitive information discreetly.
  • Project Documentation: Maintain project documents (plans, status reports, meeting minutes, action item lists) for informed decision-making.
  • Calendar Management: Anticipate meetings, gather information, and track follow-up actions.
  • Special Projects: Coordinate studio partner visits and manage company sports tickets.
  • Continuous Learning: Stay informed about markets, customers, and divisions to support the President’s initiatives.
  • Strategic Project Execution: Assist in planning, organizing, and executing strategic projects.
  • CRM Proficiency: Input meeting notes, provide insights, and generate reports using CRM software.

Qualifications:

  • Education and Experience: Bachelor’s Degree required, with over 5 years of administrative experience preferred.
  • Technical Skills: Proficiency in Microsoft Office Suite.
  • Analytical Abilities: Excellent problem-solving skills and data collection expertise.
  • Project Coordination: Experience in project coordination, ideally with a strategic focus.
  • Executive Support Background: Beneficial to have supported senior executives or top management.
  • Organizational Skills: Superior organizational and time-management capabilities, adept at task prioritization and meeting deadlines.
  • Collaboration: Proven ability to collaborate effectively with cross-functional teams and stakeholders across all organizational levels.
