EXECUTIVE ASSISTANT

What Are We Looking For

MultiplyMii is in search of an Executive Assistant who will be working with our client based in the US. Our client is an experienced business coach and owner of several companies including a packaging business, a children's store franchise, and various real estate ventures.

The ideal candidate has strong writing skills and is committed to customer service excellence. They are also organized, detail-oriented, action-oriented, with the ability to multitask. This position deals directly with executives, so it is important that they are sociable and have strong relational skills.

This role is 100% work from home.

In This Role, You Will Be Accountable For

  • Communication
    • Emails: Write and respond to emails; maintain regular communication with clients; use professional and friendly writing style
    • Social Media: Manage social media posts and client newsletter; collect and post client reviews and testimonials
    • Testimonials & Reviews: Gather and post testimonials from clients on to google page. Basic video editing (low level easy editing). Bonus opportunity.
    • Book Rentals: Most rentals will be booked online, but you will help with basic questions. Bonus for rentals booked. Bonus opportunity.
    • Customer Service: Provide excellent customer service and ensure customer satisfaction.
    • Scheduling & Organization
      • Calendars: Manage the executive’s calendars with clients and prospective clients; schedule business and personal appointments; communicate with other team members, ; manage VRBO listing and office space rental
      • Extras: Special projects and research as needed. You will be an assistant for coaching practice, rentals, and also a personal assistant.
      • CRM: master CRM and also put session ratings and information in company CRM.)
    • Ordering & Financials
      • Ordering: Session day lunches; client and connector gifts; inventory and supplies; various online assessments, as needed, lots of ordering for business and personal.
      • QuickBooks & Billing: Import and categorize transactions for purchases in QuickBooks; create and send invoices. Very simple QuickBooks help.
    About You

    Core qualifications:

    • Experience:
      • 2-5 years of experience as an Executive Assistant, Administrative Assistant, or in a similar role.
      • Prior experience working with an Entrepreneur or Business Coach is very helpful.
    • Skills:
      • Excellent written and verbal communication skills.
      • Strong organizational and multitasking abilities.
      • Proficiency in MS Office Suite and any CRM software.
      • Self-starter with the ability to work independently.
    • Social Media:
      • At least 3 years of experience in social media management.
      • Proficient in creating and managing posts, client reviews, and testimonials on platforms such as LinkedIn, Facebook, and Google Reviews.
    • Customer Service & Calendar Management:
      • At least 3 years of experience in customer service.
      • Proven experience in managing calendars and scheduling.
    Advantageous

    • Basic video editing skills (simple, easy edits).
    • Experience in managing invoices, processing payments, and overseeing financial documentation.
    • Proficiency in QuickBooks.
